Our client, a family-owned residential and commercial construction company, is seeking an Office Manager/Administrator in Elgin, IL. The Office Manager/Administrator will be responsible for day to day office operations as well as human resources, vendor management, and company vehicles.

Our client, a family-owned residential and commercial construction company, is seeking an Office Manager/Administrator in Elgin, IL. The Office Manager/Administrator will be responsible for day to day office operations as well as human resources, vendor management, and company vehicles.

- Admin/Office Support
- Answer and receive incoming phone calls
- Receive and distribute deliveries to intended parties
- Check in materials on selection sheets
- Manage contracts for cell phones
- Set up and maintain office phones
- Handle contracts for printers and maintenance
- Maintain IT and coordinate as needed
- Material returns for internet purchases
- Responsible for employee birthday cards and anniversary recognition
- Plan quarterly company meetings, office birthday lunches, holiday/vendor party, and holiday gifts
Human Resources:- Create ads for new hires and handle screenings
- Participate in interviews for new employees
- Onboard new employees and distribute new hire materials
- Oversee employee health insurance, PTO tracking, and scheduling
- Manage and upkeep employee master sheetMaintain necessary employee files, track OSHA trainings, and pay in Paylocity
- Handle workers compensation and unemployment claims
Vendor Management:- Scan and enter vendors into system and physical binder
- Daily management of the vendor system
- Responsible for insurance CIO and 1099 upkeep
Company Vehicles:- Scan and enter vehicles into internal system
- Record, update, and maintain necessary vehicle information (titles, licenses, renewals, maintenance records, DOT vehicle updates and records, and I-Pass account
- High school diploma or equivalent required; Associates degree in office administration or related field preferred.
- At least three years of administrative and clerical experience required.
- HR experience preferred, but not required.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Basic understanding of how to operate standard business equipment.
- Proficient with Microsoft Office Suite or related software.
- Must be comfortable sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
