Job Description

The Boys & Girls Club of Vista (BGCV) is hiring a full time Office Manager. Reporting directly to the CEO, this position will maintain accounting and financial reports for the Boys & Girls Club of Vista and the Boys & Girls Club of Vista Foundation. The ideal candidate demonstrates excellent accounting and HR experience. Must have solid proven experience with QuickBooks and Microsoft platforms.

KNOW HOW:

· Show exceptional competence and experience with QuickBooks & Human Resources.

· Ability to submit accurate and timely statistics and financial reports for CEO and Board of Directors.

· Ability and aptitude to make decisions and meet commitments within established policies and procedures.

JOB SEGMENTS:

· Keep financial records current, according to generally accepted practices as established by the auditor, CPA and Board of Directors and Foundation Trustees.

· Pay bills and make deposits in a timely and accurate manner and prepare bi-monthly payroll.

· Administer 401K plan.

· Prepare and submit statistical information as required to help benchmark membership, grant reports, special programs and fundraising events.

· Help maintain and reconcile bank accounts, transfers, recording of restricted accounts and monthly cash flow reports with CEO and Finance Committee’s approval.

· Work with auditor to complete a successful annual audit in a timely fashion.

· Invoice and audit am/pm school and off-site programs on a monthly basis as well as reconcile day camp and sports programs.

· Enforce prepayment prior to participation in any Club programs.

· Help monitor and report variances in expenses and income to budget.

· Prepare and file all appropriate payroll taxes in a timely manner.

· Create routine onboarding process and maintain accurate employee records and benefits plan for employees.

· Maintain accurate timesheets, vacation and employee records.

· Conduct confidential routine background screening for all applicants, volunteers and employees as well as drug-testing program and worker’s comp. programs.

· Manage and coordinate facility rental agreements with Facility Coordinator.

· Recommend and requisition office supplies and oversee maintenance of office equipment with CEO approval.

· Help plan and implement staff & Board meetings, conferences, events and trainings.

· Assist with fundraisers and special events as needed.

· Perform all duties as assigned by the CEO as deemed necessary to the best interest of the overall organization.

REQUIREMENTS

· At least 5 years of experience as Office Manager/Accountant

· Highly proficient with QuickBooks and preparing monthly financial statements.

· College degree or acceptable experience.

· Possess effective verbal, listening, writing and technology skills and possess emotional intelligence.

· Excellent organizational and customer service skills.

· Pass FBI and DOJ background check.

· Bilingual in Spanish preferred.

· Require the mobility to stand, stoop, reach and bend and may require the ability to stand for long periods of time and dexterity to grasp and manipulate small objects

Job Type: Full-time

Pay: $45,000.00 - $56,000.00 per year
