Job Description
Job Description: Summary : The Office Manager supports the overall organization by organizing and coordinating office administration and procedures, with a focus on bookkeeping tasks. Responsibilities also include purchasing and managing supplies and equipment, routing and resolving information requests, and supporting the engagement and administrative functions of the talent management group. This includes facilitating compliance and engagement activities and coordinating events and initiatives for employees.

Schedule : This position works full time Monday through Friday with a general schedule of 8:00 to 4:30 with a 30-minute lunch break. Occasional overtime work or work outside of this schedule may be required for effective team and business function.

Essential Job Responsibilities:
  • Accounting:
Accurate and timely customer billing and accounts receivable processing, including collections

Accurate and timely A/P reporting to corporate

Accurate and timely processing of all weekly and monthly financial information

Collaborate with the VP Operations to support overall department goals and objectives.
  • Engagement and Compliance
Facilitate IC Recognition Awards

Facilitate birthday, anniversary and holiday engagement touches

Coordinate regular mailings of engagement gifts

Support compliance administration activities
  • Office:
Manage and order office supplies

Manage office contact lists and schedules

Manage birthday and anniversary engagement touches for employees

Coordinate events

Job Qualifications: Education, Training and Experience:
  • 3+ years' experience in customer service, human resources, bookkeeping, or administrative role • Experience with accounting software (Quickbooks)
  • AA degree or 2 additional years of relative experience
  • Experience with online tools, applications and platforms
  • Proficient with MS Office suite, especially Outlook, Excel and Word
  • Keyboarding at minimum 50 wpm

  • Ability to work independently and efficiently to meet deadlines
