Our Naturopathic Primary Care clinic is hiring an Office Manager!
We are a small team of dedicated healthcare professionals looking for an intelligent candidate with excellent management skills and a warm personality. The Office Manager is the facilitator who keeps the clinic running smoothly. We are looking for someone to join our SE Portland clinic who is resourceful, organized and detail oriented, as well as friendly and compassionate.
The Office Manager is responsible for ensuring that all operations run smoothly for the administrative staff, billing team and our providers. The clinic is growing, so this role is vital to the success of our team as we add another provider and potentially expand our office space. We need someone who can help steer the clinic in the right direction! We are looking for someone who is reliable, flexible and able to juggle multiple projects with varying deadlines. Potential candidates will have a knack for using technology to improve office systems and efficiency. We would love someone who can communicate clearly and effectively while maintaining a positive work environment. It is also very important that the Office Manager is comfortable communicating with our diverse patient population and believes in our mission to provide quality, integrative care for all people. This is a great long-term position for the right person!
This position is at our SE Hawthorne location.
$20.00-$24.00/hr DOE
Responsibilities
Oversee clinic operations, supervise staff and support providers
Medical Billing: Process insurance payments and work with billing team to identify denied/unpaid claims
Manage accounts receivable and perform monthly audits to minimize A/R days
Perform and maintain all provider contracting applications with Medicaid and Private insurance payers
Manage medical supply and office inventory
Work closely with owner/lead provider to strategize and plan future projects
Special project management
HR needs including yearly reviews for staff, hiring, disciplinary etc.
Facilitate monthly all-staff meetings
Complete clinic certifications and billing claims for ContraceptiveCare and Screenwise Reproductive Health Programs
Verifying patient insurance and able to explain invoices and insurance benefits to patients
Perform all administrative duties if needed:
Greets patients in the office and on the phone.
Triages incoming patient calls and directs communication to the appropriate provider
Performs complex scheduling, manages our provider’s schedules, and maintains patient appointment waitlist
Obtains patient records and required office forms, performs data entry, verifies patient information into EHR
Performs new patient onboarding
Follows appropriate COVID-19 safety protocols.
Required Qualifications
High school diploma or GED required
Highly organized with the capacity to work independently to manage projects
Computer savvy and experience working with Google Drive, Microsoft Office and Adobe Acrobat
Initiative to improve systems and bring new ideas to increase office efficiency
Reliable transportation
Preferred Qualifications
Knowledge of medical terminology, HIPPA, experience in a medical office and/or knowledge of OHP and medical insurance processes
Experience with electronic health record systems
Interest in health care, naturopathy and/or acupuncture
Lives in the neighborhood
