Job description

Tempest is seeking a full-time Business Office Manager to ensure the smooth running of the Coppell office on a day-to-day basis. The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures and inventory control. We are looking for an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Essential Duties and Responsibilities

  • Manage reception function of the company: answer main phone line, greet clients and visitors, and assist with settling in requirements and greet as appropriate.
  • Perform office management and administrative duties
  • Act as a point of contact for senior management
  • Manage schedules including itineraries, travel arrangements, and team meetings for senior management
  • Schedule, coordinate and oversee a wide variety of internal/external meetings/events (local, off site or by video conferencing).
  • Design, organize, and maintain filing systems
  • Manage contracts, pricing and relationships with office vendors, service providers and building management
  • Assist with human resource functions and managing personnel files
  • Co-ordinate on-boarding for new employees, including desk set up, telephone equipment, computer, etc. as well as termination activities for departing employees
  • Communicate local office policies/procedures as appropriate on behalf of management under the guidance of the Human Resources Department
  • Purchasing and maintenance of office supplies and office equipment
  • Act as official local office contact for property management (e.g. fire marshal, etc.)
  • Handles mail and shipping
  • Create PowerPoint presentations and agendas for monthly and quarterly company meetings.
  • Perform other duties as assigned by management

Qualification Requirements:

  • Must have an associates degree or equivalent. Bachelor’s degree preferred
  • Proficient in Microsoft Office (Outlook, Word, Excel & PowerPoint) general computer skills
  • 3+ years admin experience preferred
