Job Description The Law Clinic Office Coordinator will provide general administrative support for all the Legal Clinics. This role serves as the primary receptionist for the Clinics, and must present a warm and professional presence on the phone and in person. The position handles multiple phone lines, and greets current and potential clients as they enter the office. This person will assist Clinic faculty, staff, and students with case documents and materials; computer files and databases; conducting conflict checks; travel arrangements and reimbursements; etc. This position is expected to train students how to use Clinic systems and forms, enter payroll time, and other matters.
Qualifications
  • Associate’s degree required, Bachelor’s preferred.
  • 2+ years providing administrative support, preferably in a legal or higher education setting.
  • Ability to work in a fast-paced setting, with a professional attitude.
  • Able to coordinate multiple priorities, with close attention to detail.

Job Specific Qualifications The successful candidate will be able to work calmly and professionally with competing priorities;
  • able to work with multiple phone lines;
  • be a skilled user of Microsoft products;
  • and be able to work to a high standard with a wide variety of customers.

Responsibilities
  • Receptionist: Answer multiple phone lines, and answer the caller’s question, direct them to the appropriate person, or take a detailed and accurate message; greet in person visitors to the Clinic, include current and potential clients; triage all Clinic inquiries and ensure a timely and professional response.
  • Documentation: Assist clients and Clinic faculty, staff, and students with intake paperwork and case documents, including copying, collating, filing, scanning, and mailing.
  • Office support: Provide general administrative support to Clinic faculty and staff, including: scheduling and room reservations; maintaining and distributing materials and supplies; travel arrangements and reimbursements; working with students to train them on payroll timekeeping and other onboarding needs; etc.
  • Other duties as assigned.
