Job Description

Office Coordinator & Front Desk located in Downtown, Miami.

  • Answering phone calls in a polite and professional manner, transferring callers as appropriate
  • Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel,
  • Managing schedules for conference and community spaces
  • Monitoring and ordering inventory for office and break room supplies
  • Maintaining clean and organized appearance in all office common areas including reception area, conference rooms, copier and postage workstations, and break room
  • Managing incoming and outgoing correspondence, including emails, mail and packages
  • Filing and organizing records, invoices and other important documentation
  • Submitting work orders and scheduling repairs for general office space and equipment
  • Ordering repairs for office equipment and maintenance, connecting with and escorting vendor
  • Arranging catering for office/individuals
  • Participation in basic accounting duties
  • Assisting new employees with onboarding procedures


Requirements:

  • A high school diploma or equivalent is required; Associate degree preferred
  • 2+ years office experience
  • Superb communication skills
  • Fluent in English and Spanish (required)
