The Alliance of Indiana Rural Water is a non-profit 501(c) 6 corporation that has been a state affiliate of the National Rural Water Association (NRWA) since 1981. The Alliance is a training and technical assistance trade association with over 800 member systems and Associate Members in Indiana. The Alliance currently has a staff of 16 working with rural and midsized communities across the state. We are currently accepting applications for an Office Administrator.
Job Description
The role of the Office Administrator is to support the association’s goals and objectives by overseeing the internal workings of its office located in Franklin, Indiana and collaborating with association staff to meet the needs of its members. The office administrator’s duties include general clerical responsibilities and membership services, as well as collaborating with internal work groups on apprenticeship, training and CEU processing, conference marketing and registration, website and social media postings, etc. The Office Administrator wears many hats and is involved in a variety of tasks which will frequently change or be re-prioritized. The office administrator should be flexible to work independently but also collaboratively at the same time.
Duties and Responsibilities (not all inclusive):
- Oversight of contractors providing services to the Franklin office (i.e. lawn care, HVAC, cleaning)
- Maintenance of office equipment (copiers, printers, postage meter)
- Answer phones and monitor Alliance mail, email, faxes and voicemails and respond to inquiries in a timely manner
- Assist with mailings – monthly newsletter, training flyers, others as needed
- Assist with general database administration – reporting and data entry
- Process new member applications and plaque and sticker requests
- Order & manage inventory of general promotional items
- CEU processing for all events and trainings
- Assisting with attendance on webinars (Zoom classes)
- Prepare binders, handouts and mailings for Board Training and Exam Review courses
- Attend Conferences & Expos (6 in-state per year) and assist with all pre-conference preparations and onsite registration
- Assist Apprentice team with general database administration for apprenticeship app and review and reporting of monthly apprentice progress
- Maintain internal filing systems – CEUS, payables & receivables and others
Job Requirements
Education and licensing:
- Minimum of an Associate’s Degree in Business, or related field.
- 3-5 years customer service experience in an office environment.
- Not-for-Profit / Association experience is a plus.
- Must have good communication and writing skills.
- Proficient in Microsoft Office products.
Travel:
- This position requires daily commute to the Franklin, Indiana office. There is potential to work remotely on occassion following a training period and as work permits.
- Travel within Indiana for events is required (5-6 times per year)
- Travel throughout the U.S. for National events (1-2 times per year) is possible
