Exposure to Confidential Information:
The Administrative assistant will have access to confidential records and must maintain confidentiality.
Key Expectations/Responsibilities:
Planning
· Participates in meetings as required/assigned.
Implementation
· Organize daily work flow.
- Monitor incoming emails and answer or forward as required.
· Answer, screen and transfer inbound phone calls
· Maintain electronic and hard copy filing system
· Retrieve documents from filing system and handle requests for information and data
- Update and maintain databases such as mailing lists, contact lists and client information
· Resolve administrative problems and inquiries
· Maintain office schedule, prepare agenda and coordinate meetings, appointments and travel arrangements
· Record, compile, transcribe and distribute minutes of meetings
- Open, sort and distribute incoming mail and coordinate outgoing correspondence
· Keep up with office supply inventories and coordinate maintenance of office equipment
· Maintain staff administrative records such as parking, phones, petty cash and company credit cards and assist with bookkeeping/accounting functions as appropriate
- Perform work related errands as requested such as going to the post office and bank
- Keep office area clean and organized
· Completes other duties as assigned.
Training
· Participates in relevant training to expand knowledge of the position.
· Communicates regularly with the supervisor and seeks assistance when appropriate
· Continues to work to improve skills needed for position held.
Job Type: Full-time
Pay: $38.00 - $40.00 per hour
