POSITION SUMMARY
Working a SPLIT Shift (10:00 AM - 6:30 PM), the O/F Shipping Specialist monitors the traffic/freight function to ensure customer service levels are met by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Compiles and maintains records of orders processed by the Traffic department. Inputs tracking information into the company ERP system.
- Assures daily compliance to the ship schedule. Coordinates inbound and outbound shipments. Contacts carriers, sales reps, vendors, brokers, freight forwarders, etc. when needed.
- Determine best solution for emergency pickups & deliveries while justifying the cost and ensuring that all customer specific requirements are met. Creates and maintains all shipping related documents. Helps guide other personnel in other departments to manage and analyze freight correctly.
- Resolves errors and customer complaints and ensures corrective measures are put into place.
- Analyzes and documents system process flow and recommends and develops better solutions to achieve process improvement, and expense reduction. Develops written procedures to document processes and to assist in training.
- Performs basic computer applications skills utilizing main frame for item inquiry, order organizer, shipping transactions, invoicing, etc. to help finish processing the shipment.
- Prepare and print shipping labels corresponding to shipping needs.
- Process orders based on the buyer’s preferred shipping system (e.g. USPS, UPS, FedEx, etc.)
- Maintain a clean and safe work area and update supplies as needed.
- Upkeep and maintain process data entries for various logs i.e. International/Amazon/IHERB logs etc.
- Responsible for timely shipment turns of both International and Domestic Shipments.
- Reconcile staged shipments daily to ensure timely shipping.
- Maintains department 6S programs utilizing the 6S Audit Form.
- Ensure quality and dialogue between Customer Service, Sales and Shipping Team.
- Multi-tasking and ability to meet deadlines.
- Complies with Safety and CGMP requirements.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- High school diploma or general education degree (GED) with five years’ of related experience.
- Prior experience in a food-related industry required.
- Proficiency in Microsoft Word and Excel is required.
- Prior ERP experience is preferred.
- Must have knowledge and experience in CFR 49.
LANGUAGE SKILLS
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to effectively present information and respond to questions from employees in regards to operational procedures.
- Effective verbal and written communication skills.
- Should be able to adapt communication style to suit different audiences.
- Team player in working with cross-functioning teams to drive continuous improvement initiatives with both internal & external customers.
MATHEMATICAL SKILLS
- Ability to do basic math functions such as add, subtract, multiply and divide as well as figure percentages.
OTHER SKILLS AND ABILITIES
- Excellent organizational skills are required.
- Ability to effectively multi-task is critical.
- Must be flexible to understand and satisfy customer needs.
- Ability to operate a forklift.

The employee is occasionally required to access product on floor or low shelves; and to operate a hand truck or forklift with a 24 inch step. Specific vision abilities required by this job include close vision, distance vision, and depth perception.
The employee must regularly lift, move (in some cases drag items), slide, raise and/or place:
- Pallets weighing up to 55 lbs. from floor onto one side, move up to 10 feet and return to original position.
- Up to 34 lb. box from shoulder level to 75 inches and then perform transfer of 15 lb. stacking from 6 inches to 60 inches.
- Up to 75 lbs. from 5 inches off the ground up to 46 inches high and return to original position.
- Hold and squeeze to 50 lbs. and then pull one end at a 32-36 inch table and wrap around a box and then unwrap.
