Job Description

We are a small coffee roasting company (approx. 25 employees) with two manufacturing locations and an administrative office. We are looking for an outstanding person to join our Operations team. The successful candidate must have excellent interpersonal and communication skills, good follow through, be well organized, a lifelong learner, and able to pick up additional tasks and duties as requested. (In a small operation folks need to be able to pitch in to get things done!)

ROLE

The Merchandise Coordinator is responsible for managing inventory for select products, product lines, merchandise and supply items. Generally responsibility to manage the forecasting, procurement, transfer, receiving and inventory levels of assigned items. Provide back-up support to members of the Operations team in other areas of purchasing. Provide general assistance to Operations team as requested.

ESSENTIAL RESPONSIBILITIES:

  • Manage timely procurement for assigned areas/items. Maintain sufficient inventory at all locations.
  • Manage relationships with associated vendors/representatives.
  • Maintain a positive relationship with all parts of the company. Communicate with other departments and staff about incoming orders.
  • Strategize on ways to reduce costs through: alternative vendors, order points, shipping methodologies, new production/manufacturing techniques, etc.
  • Receive items, assuring that the items match the order and meet company standards.
  • Assist in physical inventory counts through counting and/or data entry.
  • Assist in stocking and warehousing items.
  • Follows all company procedures, policies and quality standards

ESSENTIAL DUTIES

  • Merchandise Procurement
  • Maintain sufficient inventory levels at all locations for assigned items
  • Use existing tools and reports to project inventory needs based on actual sales, sales projections, and known factors. Modify tools and reports as necessary.
  • Optimize purchase timing and quantities for greatest efficiencies and cost savings: Freight and transportation, Inventory levels, Out of stock costs
  • Intra-Company Transfers
  • Plan intracompany transfers for assigned items.
  • Work with other members of the Operations team on logistics details.
  • Provide back-up support to other members of the Operations team on their items as needed.
  • New Item Set-Up/Coordination
  • Manage vendor sourcing and product research for assigned items.
  • Coordinate new merchandise requests
  • Create and manage Product Data Sheets (PDS)
  • With Operations and Accounting set up vendors and new items in Traverse (ERP software).
  • Receiving & Quality Control
  • Match details of arrived goods with purchase order/packing list, existing goods, and/or art proofs
  • Communicate, in prescribed manner, the receipt of goods and any differences to specifications to appropriate personnel for final approval and receipt into system.
  • Conduct initial quality control review of arriving goods as part of the receiving process
  • Coordinate resolution of differences of arriving goods with specifications. Manage defective items scenarios including communication with customer service and with vendors for improved quality and/or credit.
  • Additional Responsibilities
  • Assist with planning as requested by management.
  • Create/manage/update project calendars, schedules, task lists, etc.
  • Provide meeting coordination, task assignment, note taking and distribution, task follow-up, etc. as needed.
  • Assist in packaging research.
  • Other duties as assigned.

REQUIREMENTS:

  • No tobacco use
  • Enthusiastic love of coffee.
  • Highly organized and able to prioritize tasks with minimal instruction and oversight
  • Experienced in MS Office, email/internet and quickly learn to navigate in new software
  • English fluency with excellent reading, writing and oral communication skills
  • Proficiency in standard math
  • Clean driving record and use of your personal vehicle for deliveries, errands, and travel between work sites (mileage reimbursement provided)
  • Ability to apply knowledge and discovery from parallel situations to new challenges
  • Ability to stay productive when immediate supervision or guidance is not available; while being welcoming of constructive criticism and direction when given

  • Experience with Traverse ERP, or other ERP, or Inventory and Purchasing software (preferred)
  • Forklift and pallet jack operation (preferred)

PHYSICAL REQUIREMENTS/WORKING CONDITIONS:

  • Ability to lift 30 – 50lbs on a regular basis
  • Ability to frequently lift, bend, kneel, squat, stretch, twist and reach overhead with repetitive motions
  • Ability to endure substantial physical effort in both indoor and outdoor environments under varying temperature/weather conditions
  • Ability to stand or sit at a desk for extended periods of time

Job Type: Full-time

Pay: $16.00 - $19.00 per hour
