Key Role:
Assist the meetings and special events manager in the planning and execution of logistics for on-site and off-site meetings, program reviews, workshops, and other events for highly scientific/technical participants. Build and manage registration Websites and provide regular updates. Assist with site selection, vendor contracting, sleeping room block coordination, food and beverage planning, audiovisual specifications, and other associated support services. Assist with invoice reconciliation and preparing reports on activities costs. Manage federal travel booking and reimbursement for invited speakers and other meeting VIPs. Provide back-up support to front office team as needed. This position is located in Washington, DC but may include travel to other CONUS locations as needed to support offsite meetings and events.
Basic Qualifications:
- 3+ years of experience with meeting or event planning
- Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Ability to work individually and as part of a team to execute tasks
- Ability to multi-task and pay strict attention to details in a fast-paced, deadline-driven environment
- Ability to develop and maintain client relationships and understand client and attendee needs
- Ability to work within the constraints of budget and existing policies/procedures
- Ability to obtain a security clearance
- HS Diploma or GED
Additional Qualifications:
- Experience with meeting or event planning as a government, 3rd-party, or corporate meeting planner
- Experience with Cvent Event Management preferred
- Knowledge of federal meeting planning principles a plus
- Possession of excellent written and oral communications skills
- Possession of excellent project and time-management skills
- Bachelor’s degree preferred
- CMP, CGMP Certification or equivalent experience preferred
