Job Description
POSITION SUMMARYPerforms administrative and certain clinical duties under the direction of Medical Practice RN and Faculty. Administrative duties may include reception duties, scheduling appointments and other clerical tasks as assigned under the direction of the Faculty Practice Manager. In an outpatient practice setting, Medical Assistants are instrumental in providing continuity of care to the patients and expected to be the patient liaison in making sure patients’ requests are addressed in a timely manner.

ESSENTIAL JOB DUTIES AND FUNCTIONSBack Office/Clinical:
- Prepares, stocks and cleans exam rooms daily.
- Takes vital signs and rooms patients.
- Inputs data on flow sheets.
- Assists physician in patient care as directed including retrieving supplies, medications, comforting patients and assisting during procedures. This may include biopsies and wound debridements.
- Organizes patient charts for physician including verification of complete information prior to patient visit. (i.e., referral forms, prior authorizations, referring provider records, ancillary testing, lab results, pre-operative medical clearances)
- Participates in data collection for research studies, PQRS, and Meaningful Use.
- Completes lab and imaging requisitions, schedules procedures and maintains tracking log for results.
- Responsible for all aspects of physician office testing for CLIA waived testing. Collects specimens, performs quality assurance, performs tests, documents test results on daily log and in patient chart, reviews abnormal values with physician, performs repeat testing as required. Monitors refrigerator and room temperatures. Meets with CLIA Laboratory Director weekly or as required, to review quality assurance and quality control documentation. Cleans laboratory, maintains equipment, handles and disposes of medical waste.
- Calls lab for a blood draw and specimen pickup. Ensures that the specimen are picked up in a timely manner.
- Maintains required logs and ensures that they are accurate and up to date. Research records if discrepancies are found. Routes the logs to the Billing Faculty Practice Manager monthly.
- Serve as a preceptor to new employees, interns and volunteers.
- Communicates with physician and clinic staff any urgent issues or patient relations issues impacting clinic activity.
- Informs physician of patient requests and phone calls. Documents instructions in medical record and follows-up with patients as directed by physician.
- Performs follow-up on patient no shows.
- Checks and maintains inventory of supplies. Has prime responsibility for ordering medical and laboratory supplies.
- Organizes medicine supply cabinet with special attention to expiration dates of medicines. Documents distributions of samples as required by state rules.
- Greats and welcomes patients.
- Assures cleanliness and orderliness of reception and waiting rooms.
- Obtains completed PHI form from patients.
- Obtains accurate insurance and demographic information from patients including a government issued picture ID and insurance card. Registers patients in the EMR.
- Answers phones. Triages patients for urgency of care. Directs patient to appropriate medical care when the physician is not in the clinic.
- Takes messages and assures prompt delivery of messages.
- Schedules appointments for patients and makes appointment reminder calls.
- Collects copays and balances from previous services if any from patients.
- Able to verify cash box fund.
- Prepares FFS, deposit bag and documentation at the request of the Clinical Operations Manager
- Coordinates physician schedules for patient appointments; is responsible for maintaining physician calendars with regard to clinic patient hours, surgery, meetings and other University and UHP related assignments.
- Processes insurance referrals.
- Completes consult request forms (referral forms) for new and established patients.
- Coordinates and assists with transcription process including mailing of reports to referring physician
- Assembles patient charts and files records/forms in the charts. Pulls charts for daily schedule.
- Maintains active and inactive patient charts; retrieval and storage of inactive charts.
- Communicates with physician and clinic staff any urgent issues, patient relations issues impacting clinic activity.
- Informs physician of no-shows and documents in medical record as instructed by physician.
- Processes incoming and outgoing clinic mail.
- Maintains appropriate inventory levels of forms and supplies used in the reception area.
- Assists staff members with photo copying, filing, typing, and ordering as assigned.
- Assists with billing follow-up as requested by the UHP Billing Department.
- Resolves work queues as assigned.
- Functions as a resource for physician and staff with regards to UHP procedures, insurance requirements, hospital procedures and building procedures.
- Complies with all legal requirement and company policies.
- Performs other duties as assigned.
QUALIFICATION REQUIREMENTSEducation/TrainingMinimum:
- High School Diploma or equivalent
- CPR Certified
Preferred:
- Associates Degree
- Completion of formal medical assistant program/training or certified medical assistant
ExperienceMinimum:
- 6 months medical assistant/office experience
Preferred:
- Three years medical assisting/office experience in OBGYN and Women’s Health
- Experience working with EPIC EMR
Skills KnowledgeMinimum:
