HF Sinclair is seeking a Marine Scheduler to be based at the headquarters in Dallas, TX. This role is the main liaison between assigned vessels, chartering department, vessel agent and Company customers. This role is responsible for managing ship operations to ensure safe and efficient operations, and manages all aspects of operations for vessels with the intention of facilitating proper cargo stowage, scheduling integrity, reliability, fuel performance, environmental and safety goals with minimal guidance.
Job Duties- Communicates with vessel masters, shipping agents, port captains, cargo charters, cargo brokers, surveyors, vessel technical manager and any concerned parties in the tankship operation
- Plans stowage needs for the Company and adheres to and considers requirements related to safety criteria, international/domestic regulation, charter's requirement and economic efficiency
- Plans voyages for the Company and adheres to and considers requirements related to safety criteria, international/domestic regulation and economic efficiency.
- Handles proper execution and management of the stowage and voyage planning in a dynamic environment
- Schedules and coordinates operational meeting to organize with 3rd parties, such as charterer, shipper, receiver, broker, terminal, agent, surveyors and any concerned parties in the tankship operation.
- Prepares monthly/yearly reports concerning tankship operations.
- Prepares yearly/semi-annual budget and budget management in operation aspects.
- Responds to troublesome issues on vessels, cooperating with concerned parties until issue is resolved.
- Records vessel movement / cargo operation in the software management system.
- Records chartering booking data in the software management system.
- Creates Charter base (profit and loss in voyage) in software management system.
- Coordinates tanker Bill of Lading (B/L) (e.g. issuance and collection of B/L) to obtain letter of indemnity from charterer/ broker through commercial channels, and to instruct cargo release order for concerned parties in accordance with Charter Party provisions.
- Manages vessel's documents (e.g. notice of readiness, cargo operation log & timesheet, ullage report, protest letter, etc)
- Updates vessel's itinerary for charterer/ broker in accordance with Charter Party provisions.
- Sends port time with shipping documents to charterer/broker in accordance with Charter Party provisions.
- Issues freight invoices with supporting documents.
- Manages freight / demurrage collection status.
- Creates AP/AR accounting ledger in software management system.
- Assists Director in other duties as assigned.
Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.
ExperienceA minimum of five (5) years’ applicable experience is required. Applicable required experience includes a combination of: marine operations for vessels, management of ship operations, vessel scheduling, and data analysis experience.
Professional work experience in tankship operations or onboard vessels is required.
Preferred Experience:
Experience in demurrage claims, cargo stowage facilitation, vetting and bunker procurement.
Education LevelA minimum of a Bachelor’s Degree is required.
Required Skills- Knowledge of post-fixture work, including nomination, demurrage, and invoicing (this position would be required to manage these activities)
- Work with peers to find timely solutions to supply and marketing interruptions when normal supply sources cannot provide material timely to meet the needs of the business
- Strong safety focus
- Exceptional verbal and written communication and negotiation skills with the proven ability to work collaboratively in a team environment
- Extensive knowledge of Microsoft Office applications with intermediate skills in Microsoft Word and Excel
- Data analysis experience required.
- Excellent problem-solving skills.
- Ability to work independently and with effectiveness.
- Strong customer service orientation and team-player attitude, a must.
Preferred Skills:
Extensive knowledge of Veson IMOS voyage management system and vetting knowledge, preferred.
Work ConditionsOffice based with up to 20% travel by land and air may be required and subject to all weather and varying conditions.
