Job Description

The Administrative Support Coordinator (ASC) will oversee and provide professional administrative support, financial and budgetary oversight, and office management for the School of Aerospace and Mechanical Engineering. The ASC serves a liaison with the Gallogly College of Engineering and other departments on campus.

Job duties include,but are not limited to the following:

  • Assist with faculty searches, evaluations, tenure and promotion, post tenure review processes
  • Provide essential communication to faculty, staff, alumni, industry board, and student groups
  • Manange calendar/schedule meetings with faculty, staff, students, and visitors on campus
  • Coordinate departmental events, schedule departmental meetings and document minutes
  • Provide support with purchases, travel, policies and procedures, awards, and funding requests
  • Ensure compliance with federal, state, and univesity policies and procedures
  • Verify funding and manage approval processes for payroll, leave accounting/reporting
  • Maintain budget, account reconciliation, prepare reports
  • Hire, train, supervise, and evaluate office staff
  • Maintain office records to include inventory, personnel, financial/budget (may be confidential)
  • Other duties as assigned


Job Requirements


Required Education:
Bachelor Degree in Business Administration or related field OR an equivalent combination of education/job related experience, OR

  • 48 months in an administrative role

Skills:

  • Proficient in Microsoft Office Suite
  • Advanced Excel skills with the ability to build and manipulate spreadsheets
  • Financial or accounting experience to include analysis, auditing, and budgeting
  • Detail oriented for accuracy of data and information
  • Highly organized and able to handle multiple projects and deadlines
  • Able to communicate well and build rapport quickly with students, faculty and staff
  • Strong initiative to solve problems
  • Excellent oral and written communications skills, including proofreading and editing.
  • Must be able to supervise staff and communicate directions and expectations effectively

Advertised Physical Requirements:

  • Regular pressure to meet deadlines. May be required to bend, lift, stoop, carry, walk, climb stairs, and be exposed to temperature changes. May be required to sit for sustained periods at computer. Must be able to communicate including expressing oneself or exchanging information with others and engage in repetitive motions including movements of the hands, wrists or fingers,.

Departmental Preferences:

  • Familiarity with PeopleSoft and OU Systems
