The USC Alumni Association – a department of USC’s Division of University Advancement – is seeking an experienced, collaborative, and enterprising professional Signature Events Communications and Data Manager to join its team. The position reports to the Director of Signature Events and works directly with the Associate Director and collaborates regularly with a broad USC Alumni Association staff and the University community to coordinate database, logistical, financial, communications, and marketing aspects of USCAA events. This includes providing guidance, and supervision to assigned staff, student workers, and alumni volunteers. The job requires regular evening work and occasional travel and weekend work.

The Manager is responsible for the day-to-day management of event communication, marketing, and data within the broader USCAA Signature Events portfolio, which includes, but is not limited to, Alumni Awards, the Alumni Leadership Conference, the Volunteer Recognition Dinner, Football Weekenders, Reunion Weekend, Homecoming, the Women's Conference, Half Century Trojans Hall of Fame Luncheon and Going Back to College Day.
The Manager, in coordination with USC Alumni Association Operations, is responsible for the management and facilitation of the FightOnline event database, listing, and registration system and acts as the liaison between the department and software development team to manage issues and enhancements that occur in the registration system by creating, testing, and providing solutions to the functionality and design of the platform.
The Manager must be independently creative, able to produce, manage, and support USCAA events and flawlessly execute them. Related skills include event planning, budgeting, marketing, and fundraising.
Job Accountabilities:
In collaboration with Advancement Communication, manage the communication and marketing plan for the distribution of all print and digital communication for the Office, including sending and receiving correspondence by both mail and email; coordinating invitation lists and other mailing files; developing event flyers and invitation letters; maintaining participant spreadsheets; creating name tags, programs, signs, and other event materials and tracking and reporting all communication sent out by either mail, phone, or email.
Utilize Marketing Cloud to create and draft compelling communications across multiple platforms. These communications inform, educate, and encourage registration, attendance, and philanthropy. Serve as primary point person for all creation and approval of communications related to signature events.
Management and facilitation of the FightOnline event database, listing, and registration system.
Create and maintain all active event calendar listings and registration pages on FightOnline and the USCAA website.
Manage program, project, and event budget(s).
Develops and produces event-related reports for university and department use.
Cross-train on other administrative functions to knowledgeably field questions and perform tasks in colleagues’ absence or in support of colleagues as needed.
Represents University or department at professional meetings, conferences, seminars, and other events. Develops and maintains contacts with University officials and professional colleagues.
Coordinates appropriate use of University and department logos, emblems, and indicia.
Performs other related duties as assigned or requested. The University reserves the right to add or change responsibilities at any time.
Qualifications
Bachelor’s degree
3 years minimum experience
Independently creative
Experience in event planning, coordination, and marketing with increasing responsibility in budgeting and account management, organization, data analytics, and event ROI in philanthropy. Experience at an academic institution is preferred.
Familiarity with advanced features of Microsoft Office suite of products, Salesforce; ability to learn and apply new computing software applications quickly; flexibility and good humor in the face of database conversion.
Able to produce, manage, and support USCAA events and flawlessly execute them
Expertise in event management, public relations, or related
Experience providing guidance and supervisor to assigned staff, student workers, and volunteers
