Job Summary: *
The Loan Operations Specialist II Notes Receivable is responsible for the day-to-day operations within the Note Finance Department. Will act as daily contact between operations and credit officer.
Responsibilities: Responsibilities and Duties:

  • Perform due diligence on collateral pledged to the borrowing bases and monitor on-going quality control of the Notes Receivable portfolio.
  • Proactively manage collateral and customer service issues for the Notes Receivable borrowers.
  • Review loan documentation for accuracy and consistency within product guidelines and bank policies.
  • Create digital folders and excel spreadsheets for each borrower/entity.
  • Maintain well organized digital folders using a consistent filing system.
  • Review custodial reports and verify the banks collateral has been received and review any collateral exceptions.
  • Produce collateral receipts
  • Release collateral when required and verified.
  • Approve advances to be processed after review of borrowing base and collateral
  • Verify all new loans and amendment are booked correctly with loan servicing.
  • Coordinate and monitor various scheduled activities.
  • Serves as daily liaison with Finance, Recon Dept, IT, JHA, Loan Operations, etc. as necessary, to furnish a professional and high-quality processing service.
  • Download/extract and monitor reports for daily, monthly, quarterly, annual, and ad hoc reporting. May be required to reformat system generated reports using Excel or other report writing applications. Resolve any issues and work with Lenders as appropriate.
  • Maintain knowledge of current lending policies, procedures and regulations. Attends and completes all necessary training.
  • Review and update borrowing bases, as required.
  • Assist in supporting management during internal/external examinations of the specialized lending group loan portfolio, ensuring compliance with internal policies and external regulatory requirements.
  • Provide input to help identify workflow/internal control inefficiencies and costly processes; provides suggestions for process improvements. May assist with updating operating procedures and customer guides.
  • Assist with new customer training, update and maintain the customer collateral pledging and advance request guidebook.
  • Train team members and perform other related supervisory duties as required.

Qualifications: Job Skills and Qualifications:

  • Proficient in utilizing advanced functions within Excel including macros, coding, advanced pivot tables, and conditional formatting to create and test advanced borrowing base formats for calculations of loan availability.
  • Excellent interpersonal skills, both verbal and written.
  • Proficient in Microsoft Office
  • Ability to work in a team environment
  • Excellent customer service skills
  • Excellent time management and multitasking skills
  • Three or more years in all types of Notes Receivable loan processing experience with 4 or more years’ experience in loan operations
  • Loan System Application experience.
  • Office working conditions
  • Frequently required to sit for long periods of time.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Occasionally lift and/or move up to 25 pounds.

  • Bachelor’s degree in Business Administration or equivalent experience.
