Legal Administrative Assistant Executive

This position will sit onsite in Indianapolis, IN

Responsible for providing legal secretarial support to the executive level Legal Department staff.

Primary duties may include, but are not limited to:

  • Prepares final memos, charts, spreadsheets, and other documents related to corporate and business matters from draft text.
  • Assists with the completion of various forms and filings.
  • Assists with event planning for high level executive and board meetings, including document preparation, catering coordination and travel logistics.
  • Manages calendar and assists in meeting deadlines.
  • Coordinates staff meetings.
  • Performs a wide range of clerical duties such as scheduling appointments, providing information to callers, composing and typing routine correspondence, and reading and routing incoming mail.
  • Handles invoicing and expense reimbursement matters and online travel arrangements including expense reports.
  • Handles billings and accruals for outside counseel fees.
  • Maintains filing system for correspondence and legal documents.
  • Ensures proper indexing and filing of original legal documents.

Qualifications

  • Requires a high school diploma; 5 years of related experience; or any combination of education and experience, which would provide an equivalent background.
  • Must be able to sit onsite in Indianapolis, IN.
