Lead Administrative Assistant Position
We are looking for a candidate to fill Lead Administrative Assistant Position at the Centers for Disease Control and Prevention in Atlanta, GA.
Administrative Assistant Position Duties and Responsibilities
- Maintains appointment calendar, by scheduling appointments and briefs staff on the subject matter prior to the meeting.
- Lead team of five administrative assistants
- Conducts specialized program activities requiring interaction and coordination with internal scientists and other governmental agencies
- Facilitate reservation for meetings, prepares and distribute material to appropriate staff and visitors.
- Responds to telephone requests; refers calls and visitors to appropriate staff. Controls mail and assumes timely staff response.
- Reviews materials prepared for supervisor’s approval for typographical accuracy and proper format.
- Maintains recurring internal reports (i.e. time and leave records), supplies inventory, office equipment listing, training plans and correspondence controls.
- Requisitions supplies, printing, or other services as needed. Maintains office files screens incoming correspondence and routes to appropriate personnel.
- Makes domestic and foreign travel arrangements for staff personnel
- Disseminates information supplied to CIO staff offices in adequate time for preparation of documents.
- Completes and process travel vouchers.
- Requests services and supplies in Integrated Contracts Expert System (ICE) and prepares requisitions for procurements via Managing Account Credit Card Systems (MACCS)
- Assists with the preparation and submission of procurements packages.
- Proficient in MS Office Suite and on various CDC systems and computer software (i.e. ICE, CGE, VSTS, VMS, and TASNET)
Qualifications:
- Proficient with Microsoft Office suite
- Excellent communication skills written and verbal
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping
- Prefer candidate to have previous CDC experience
- At least two years experience as Administrative Assistant
- Must be US Citizen or eligible to work in the US
