Job Description
Overview: The Geriatric Behavioral Health Intake/Unit Coordinator will serve as the primary person to provide intakes, screening and determines the eligibility and benefits of all coming referrals. All referrals and inquiries will be responded to in a timely and professional manner. The Intake/Unit Coordinator will also provide clerical services, maintains the clinical records and ensure an effective flow of communication to the unit.Responsibilities:
  • Adheres to all hospital and department policies and procedures.

  • Ensure appropriate intake referrals are collaborated accordingly and responded promptly.

  • Maintain courteous and professional interactions with customers at all times. Greets each patient, families and visitors with a smile and acknowledges them in timely manner.

  • Assist staff in communication with the Physicians and patients

  • Assist patients/families/caregivers with their needs and help problem solve in your capacity. Provide education to visitors on unit ‘s safety protocols.

  • Determine eligibility and benefits from insurance companies on referrals coming directly to intake.

  • Confirm financial responsibilities with patients.

  • Maintain referral log and other data as assigned by the unit manager/director.

  • Coordinate with finance and billing departments all admissions and discharges.

  • Communicate admission to staff and other members of the team by providing basic and pertinent information.

  • Comply with the hospital policies on maintaining safety and reporting incidents promptly.

  • Use effective time management and organizational skills.

  • Processes paperwork for new patients and in accordance with protocols.

  • Ensures that all admission/discharge forms are properly signed and filed.

  • Promptly answers telephone calls and screens inquiry calls and emails.

  • Collects data to help with the admission process.

  • Communicate professionally and respectfully with all members of the Hospital while working to support a team oriented work environment.

  • Maintains customer confidence and protects operations by keeping information confidential and adhering to the standards of the Health Insurance and Portability Act (HIPAA).

  • Perform record keeping, medical record maintenance, report writing, data collection and entry as directed by the Nurse Director.

  • Maintain a work environment in which everyone is to be treated with fairness, dignity and respect.

  • Abide and follow the guidelines in the code of conduct, shares accountability and responsibility for conducting themselves in a manner consistent with the hospital mission, vision and values.

  • Make charts/chart packets.

  • Maintain a downtime packet for use in emergency situation when computer system is down.

  • Order supplies on a daily/weekly basis, report work requests.

  • Arranges consults, appointments and transportation as needed.

  • Organizes chart at discharge and audits chart for completion before delivery to medical records.

  • Answers call lights when needed.

  • Keep the work areas clean, organized, clutter free and follows the lean management principle.

  • Helps with staffing and coordinate unit needs to the appropriate department.

  • Performs other duties as assigned.

Qualifications: EDUCATION:
  • Degree in Behavioral Science, License Psychiatric Technician or Degree in Nursing

EXPERIENCE:
  • Prior experience in working with a Behavioral Health Organization on intakes is preferred.
  • Knowledge in insurance eligibility and benefits.
CERTIFICATIONS/LICENSURE:
  • CPI or Pro-Act certification or within 3 months of hire
  • Must have CPR certification

OTHER SKILLS, ABILITIES & KNOWLEDGE:
  • Excellent reading, verbal & written communication skills are necessary. Must have good guest relations skills.
  • Possess knowledge of psychiatric and medical terminologies.
  • Knowledge of intake process, skills and methods of relating to referral sources, patients and families.
  • Proficiencies with computer programs which may include Microsoft Word, Excel, Power Point, Outlook and others.
  • Demonstrate the ability to use standard office equipment such as telephone, fax, efax, copiers, computer.
  • Possesses the ability to adjust to the constantly changing workloads.
