TITLE: HR Data Coordinator, Human Resources
REPORTING TO: Director of Human Resources
LOCATION: New York, NY
ASSIGNMENT LENGTH: Indefinite
POSITION SUMMARY:
Reporting to the Director of Human Resources, the HR Data Coordinator will be responsible for the timely and accurate processing of personnel changes into various databases that include the HR/Payroll database (Paylocity); the Enterprise Resource Planning database (Serenic), and the employee change tracker database. They will also prepare Personnel Action Authority forms (PAAs) and be responsible for providing general administration in support of the Global HR team. They will be responsible for administering a variety of HR processes, general HR reporting and providing customer service to staff. They will also be involved in various HR projects as assigned by the HR Director. This position requires strong attention to detail and excellent time management and follow up skills.
RESPONSIBILITIES:
1. HR Databases and Preparation of PAAs: Communicate and transfer to Payroll confidential staff member data and information for semi-monthly payroll:
- Collect all information and appropriate authorizations required for the preparation of Personnel Action Authority (PAA) forms and communicate with Payroll Department regarding deadlines, data correctness and clarity. Data entries include new hires, terminations, and various payroll, benefits, and organizational changes.
- Enter PAA data changes into HRIS (Paylocity), Serenic, and the employee change tracker, in a timely and accurate manner.
- Maintain history and current status of PAA forms via the PAA log and distribute copies of the PAAs for signature and to relevant departments via DocuSign.
- Generate staffing and other ad hoc reports as needed.
2. HR Processes Assistance:
- Oversee performance appraisal submission process.
- Gather and organize promotion documentation and distribute promotion packages.
- Process employee terminations (e.g., leave balances, severance, separation papers, exit survey)
- Process unemployment claim notices; respond to employment verification requests.
- Provide assistance to staff in Paylocity (e.g., resetting passwords).
- Update HR policies, create and update various HR forms, and post on intranet.
- Create and maintain HR files, both paper and electronic, accurately file HR documents, and prepare personnel files for off-site storage as needed.
- Code HR invoices and submit to AP for processing.
3. Recruitment: Provide administrative support to Talent Management team as requested:
- Assist recruiters with new hire paperwork.
- Assist with the tracking, storage and purge of I-9 forms per federal requirements.
4. General: Provide general HR administrative/support:
- Schedule HR staff meetings; reserve meeting rooms and coordinate virtual meetings (WebEx, Zoom, Microsoft teams); organize special events; distribute mail to HR team.
- Send out organization-wide communications: holiday notifications, etc.
- Provide positive and responsive customer service to all staff members and members of the public who interact with the HR department.
- Other duties as assigned.
QUALIFICATIONS:
1. Bachelor’s degree and a minimum of three years’ experience in human resources, or a satisfactory combination of related education and experience.
2. Experience with HRIS databases required;
3. Excellent computer skills: Microsoft Office, Word, Excel and database administration required. Experience with web content management preferred; familiarity with Serenic (or similar ERP systems) a plus.
4. Excellent administrative and organizational skills; attention to detail, accuracy and follow-through are paramount.
5. Excellent English language communication skills—oral and written; superb grammar and proofreading skills.
6. Good math skills and facility with numbers required.
7. Excellent interpersonal skills—ability to communicate professionally with staff members and guests at all levels.
8. Discretion and ability to handle confidential matters.
9. Ability to work independently and as a member of a team.
10. Tech savviness and resourcefulness a plus.
11. Ability to work remotely until Council office fully reopens.
SALARY AND BENEFITS: Salary range $59-69k per year, depending on knowledge, skills and experience. Excellent benefits package includes medical, dental, vision and life insurance available immediately upon hire; 403(b) retirement plan with employer contribution equal to 12% of annual salary after one year of employment; generous annual and sick leave; and paid parental leave.
