We are looking for an efficient Human Resources (HR) Assistant to undertake a variety of HR administrative duties in a challenging and deadline driven environment. You will facilitate daily HR functions including compiling and entering payroll data, processing payroll reports, keeping track of employees’ records, and coordinating employee events. Your role involves performing tasks with a focus on assisting employees with general questions related to benefits, PTO policy and the time clock system; as well as teach the quarterly orientation class. You will work closely with the HR Director and CEO on various projects.
Job Type: Full-time (Monday – Friday 8:00 am – 5:00 pm and ability to work overtime and Saturday hours on occasion)
Pay: $14.00 - $18.00 per hour
Requirements:
- High school diploma or GED equivalent.
- One-year general HR, payroll, or benefit clerical experience, two years preferred.
- Strong professional people skills, including networking, verbal, and written communication skills.
- Energetic team player who is willing to interface with multiple departments and ability to maintain positive working relationships with diverse people at all levels of the organization.
- Flexibility to work effectively in a changing environment and ability to adapt to changes in work environment, work assignments, and/or changes in priority.
- Proficient in MS Office (Word, Excel, PowerPoint).
- Able to maintain confidentiality and professionalism with sensitive information.
Responsibilities
- Reconciles payroll each week.
- Compiles payroll data, such as hours worked and PTO.
- Processes weekly payroll summary report.
- Processes employee data changes (address, phone numbers…) in the Time Clock System.
- Responsible for monitoring the PTO accruals in the Time Clock System.
- Responsible for answering employee questions and troubleshooting issues regarding payroll and the Time Clock System.
- Ensures all employee records (paper and electronic) are maintained and updated with new hire information or changes in personal information, department information or employment status.
- Maintains the human resources sections of the intranet (documents, forms, and upcoming events).
- Responsible for answering questions regarding benefits and/or direct the employee to a benefit representative for further assistance.
- Conducts exit interviews and compiles reports to President, CFO and HR Director quarterly.
- Assists in organizing, facilitating, and executing company cultural events; including keeping the employees engaged and/or motivated at work (i.e., donation opportunities, special casual days, and special holiday functions).
- Provides day-to-day administrative services and is the liaison between employees, benefit, and payroll departments, and vendors.
- Develops, revises and coordinates HR departmental documents/training material and teaches the quarterly orientation class.
- Responsible for creating one-year anniversary certificates and ordering two-year anniversary company shirts.
- Assists department managers with year-end projects (i.e company Christmas cards and gifts to dealerships).
- Assists with the company Christmas party and ordering awards.
- Assists with scheduling appointments and making travel arrangements.
- Assist the CEO with requests.
- Ability to work overtime and Saturday hours on occasion
