SUMMARY DESCRIPTION:
Purpose and function of the job.
The HRIS & Licensing Specialist will be responsible for administering the licensing and new hire processes. All duties are to be performed within the guidelines of Sky River Casino policies and procedures, Internal Control Standards, and Wilton Rancheria Gaming Commission regulations.
ESSENTIAL JOB FUNCTIONS/DUTIES:
List duties in order of time spent or importance. Essential duties and tasks that must be performed with or without reasonable accommodation.

  • Administers licensing process for new hires, transfers, promotions, and renewals.
  • Maintaining HRIS Matrix
  • Working with Payroll to ensure all pay-related data is accurate
  • Liaises with Finance for creation of Job Codes
  • Makes recommendation on org structure, maintain clean and viable data in the HRIS system
  • Run regular audits and any ad-hoc reports.
  • Responsible for ensuring all team member’s licenses are up to date and ensuring those who are out of compliance do not work
  • Creates applicant accounts, issues usernames, and passwords, certifies applications, and submits completed electronic applications via ADP.
  • Submits required new hire, termination, withdrawal, and other forms and documents to WRGC licensing as required.
  • Responsible for processing all Gaming, Non-Gaming, and Key Licenses.
  • Keeps open communication with the WRGC.
  • Research status of licenses and solves any problems that may arise.
  • Submits weekly and monthly reports to the WRGC in a timely manner.
  • Faxes and Fed Exes WRGC required documents.
  • Maintains license files.
  • Notarizes documents.
  • Creates new hire files and conducts new hire processing including drug screen, new hire paperwork, and uniform fittings.
  • Schedules and coordinates processing and orientation with team members and hiring managers.
  • Enters all new hire data into the HRIS system.
  • Back-up to the HR Coordinator. of data entry for team member changes, transfers, terminations, etc.
  • Communicates start dates (orientation date) to security, surveillance, and hiring managers to ensure appropriate access and to confirm orientation hours for payroll purposes.
  • Creates photo ID, during processing, to be ready for NH Orientation.
  • Prepares documentation for name/access tags, assigns parking permits and wardrobe padlocks, and distributes during NH Orientation.
  • Processes, files, I-9 forms, tracks expired documents, and maintains active and termination binders, based on the I-9 File Retention Process.
  • Greets guests, team members, and applicants with a welcoming, helpful attitude, every person, every interaction.
  • Runs HRIS reports and provides analysis as needed.
  • Provides support for special events and facility programs.
  • Responsible for the quality, consistency, and presentation of all products and services.
  • Meets attendance guidelines and adheres to regulatory, departmental, and company policies.
  • Performs other duties and special projects as assigned by the Director of People & Talent, VP of People and Talent, and/or Manager, People & Talent.

JOB SPECIFICATIONS:
Education, experience, skills required, equipment used.

  • Must be 21 years or older
  • Bachelor’s Degree or above in a related field; or equivalent experience required
  • Must be able to perform each of the essential functions and responsibilities satisfactorily.
  • Must be a minimum of 21 years of age or older upon employment.
  • One to two years in the gaming industry is preferred.
  • Strong organizational and leadership qualities, interpersonal skills, and dedicated commitment to excellence.
  • Must have the ability to deal effectively and interact well with the Team members throughout all levels of Sky River Casino.
  • Must be able to be approved for and maintain a valid gaming license as required by the Wilton Rancheria Gaming Commission.
  • Must demonstrate leadership, fairness, and sensibility to the customers and employees.
  • Proficient computer/PC skills, including Microsoft Office.
  • Possesses excellent customer service, organizational, communication, and multi-tasking skills.
  • Flexible to work any scheduled shifts and/or days, including weekends and holidays when necessary.
  • Ability to perform basic calculations.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software; HRIS and Benefit portals, ADP experience preferred
  • Demonstrated outstanding organizational, planning, and project management skills
  • Working knowledge of company internal controls and Policies and Procedures
