    The State Board for Educator Certification will require all first time applicants for an initial credential to be fingerprinted as part of a national criminal background check. A cost of up to $49.00 will be charged for fingerprinting.


    PRIMARY PURPOSE:
    To work collaboratively with multiple campuses and departments regarding requests, processing, and administration of temporary employees and substitutes in a professional and timely manner.

    MAJOR RESPONSIBILITIES AND DUTIES
    • Administer processing for seasonal/temporary employment processes to comply with all district, state, and federal regulations.
    • Process and monitor all requests to ensure timely processing, collaborating with departments/campuses to obtain required information to complete request in timely fashion.
    • Serve as point of contact for new and current employees’ issues and inquiries.
    • Field inquiries from multiple sources including applicants, current and past employees, school personnel, district administrators and the general public regarding the on-line job application system and fingerprinting system.
    • Classify, sort and file correspondence or other data.
    • Respond to inquiries and/or calls to provide information and/or direction and ensure prompt customer service.
    • Maintain and execute highest level of confidentiality regarding district information.
    • Maintain human resource databases, computer software systems, and manual filing systems.
    • Supports Substitute Program and Absence Management System.
    • Work cross-functionally throughout the HR department
    • Provide system support for non-campus positions in recruiting and hiring system
    • Analyze, design and execute systems and procedures within the department for process improvement
    • Compile, maintain seasonal/temporary employee, and independent contractor files/records to provide an up-to- date reference trail and/or complying with all federal/state/district regulations.
    • Maintain up to date tracking on processing with various formats including but not limited to Google sheets and excel sheets.
    • Assist with orientation sessions and training materials for substitutes and seasonal/temporary employees.
    • Provide administrative support to the Director of Support Services Staffing & Employee Relations including but not limited to: filing, mail and postage, employee files, drafting of memos and general communication.
    • Demonstrates regular and prompt attendance.
    • Perform other duties as assigned.

    SUPERVISORY RESPONSIBILITIES
    • None.

    GENERAL QUALIFICATION GUIDELINES Education/Certification/Experience:
    • Graduation from an accredited high school or GED required.
    • Bilingual/Spanish preferred.
    • Experience in human resources or payroll related experience, preferably in public education.

    Knowledge/Skills/Abilities:
    • Knowledge of file maintenance; school district organization, operations, and administrative policies, preferred.
    • Skill in written and verbal communication and organization.
    • Ability to type and use current technology software and programs such as Microsoft Office applications (Word, Excel, Access, Outlook, Sharepoint); quickly data mine, create reports, make presentations, streamline procedures, and perform detailed oriented tasks and learn database programs.
