This position supports both the General Manager and the HR Director. Candidate must have strong Executive Administrative skills, proficiency in Microsoft Office Suite, project management skills, and excellent interpersonal skills in communicating with Board Members, UPCC members, vendors, staff, etc. Also, candidate will support HR Director in recruitment, benefits administration, new hire orientations, employment records, etc. Must be a self-starter who applies good judgement.
Responsibilities for Human Resources Generalist and Executive Assistant:
- Supports HR Director with recruitment & onboarding procedures, benefits administration, and employment records.
- Source candidates and conducts initial screenings for potential hires
- Assists in developing and streamlining recruitment sourcing and hiring process
- Expands recruitment sources
- Conducts new hire orientations
- Assists in benefits open enrollment and health and 401(k) benefits administration
- Supports Worker’s Compensation, FMLA, and STD administration
- Manages the General Manager’s calendar, including making appointments and prioritizing the most sensitive situations.
- Screens all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly.
- Provides administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
- Maintains comprehensive and accurate records.
- Organizes meetings, including scheduling, sending reminders, and organizes catering when necessary
- Creates PowerPoint presentation after receiving content from the General Manager
- Maintains confidentiality of highly sensitive information
- Manages complex office administrative work that requires the use of independent judgment and initiative
Qualifications:
- 5 years of experience in administrative support functions
- HR Generalist experience required
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms
- Proficiency in written communications
- Very strong interpersonal skills and the ability to build relationships with key stakeholders
- Ability to multi-task and to successfully manage competing priorities
- Proficiency in time management and project management.
