Job Description
OVERVIEW:

The location for this position is flexible and open to candidates in any city where there is a Year Up site.

The HR Generalist will report to the Senior Director of Talent Administration and will support the efficiency and growth of Year Up by implementing and improving Talent Administration processes and systems in support of the entire organization, but with a focus on 1-2 regions. This person will support the overall work of the HR team by executing and delivering on a range of key responsibilities including human resources, benefits management, and communication with internal and external stakeholders.

To be successful in this role, you’ll be team-oriented, comfortable working independently, and adept at navigating a fast-paced environment where you’re asked to wear multiple hats at once. Customer service and communication skills will always be top of mind, as you’ll be working with both internal and external stakeholders on a regular basis. This is an ideal opportunity for someone who is interested in strengthening their operational and project management skills, as well as foundational HR knowledge.

In keeping with Year Up’s values, this role will provide direct service to students in accordance with the expectations for National staff (e.g. joint coaching, mentoring, tutoring, etc.).

KEY RESPONSIBILITIES:

HR Administration
  • Manage and resolve a queue of HR Help service tickets in the help desk platform, adhering to the HR Help service philosophy (focused on excellent customer service and engagement), and meeting established Service Level Agreements; contribute to the success of the overall HR Help metrics and reputation with help desk actions and support
  • Help identify common themes and trends within HR Help tickets and from communications with staff that indicate a need for clarity, training, or HR communications; then help build said training and communications content in partnership with the HR Manager and HR Communications Manager
  • Document, update, and help improve processes for the Talent Administration and HR Business Partner functions
  • Support accurate and comprehensive documentation, including the preparation of letters/memos, file audits, complete benefits document submissions, follow-up actions to obtain documentation needed, eI9 resolution, and more
  • Handle employee records and information in a sensitive and secure manner; help uphold guidelines for access to confidential data and appropriately respond to requests re: personnel files
  • Ensure employee onboarding and departure activities are completed in a timely and accurate manner; e.g. monitor new hire paperwork completion; submit new hire and departure tickets on behalf of managers; track temporary employee end dates; etc.
  • Support the timely processing of employee changes via the HRIS by ensuring appropriate supporting documentation has been created/received, and submitted to support the change
  • Partner with HRIS team within the IT Department to ensure employee changes and records are complete and accurate in all systems, that staff are engaging with simple, user-friendly interfaces for Talent Administration actions, and that reporting needs for Talent Administration and key stakeholder groups are satisfied
  • Familiarize staff members with Talent Administration materials, information, and processes via HR Help tickets, info sessions, team resources, etc.
  • Help train and provide support to key stakeholder groups on Talent Administration processes and guidelines
  • Assist with the creation of basic forms and documents for the Talent Administration and HR Business Partner functions

Project Management & Support
  • Support a small number of Talent Administration projects each quarter, serving as project manager and driving project to completion, as needed
  • Support National HR priorities with project management and project support activities
  • Suggest process improvements and propose projects that will support continuous improvement of team’s operating procedures and service to staff
  • Communicate effectively with key project stakeholders and seek feedback on a regular basis to ensure HR partnership is evolving/improving at all times
  • Oversee area(s) of Talent Administration, including completion of related duties and/or projects related to area(s) or assigned region(s)

Employee Benefits
  • Provide timely and high-quality support to both internal and external requestors regarding Year Up’s benefits programs
  • Help guide employees on how to properly select and submit benefits selections in ADP HRIS and vendor system; connecting employees to external resources, as appropriate
  • Liaise with external benefits partners/vendors to connect employees to resources, to resolve escalated cases, and to help implement new vendor platforms or resources, as needed
  • Help create and coordinate benefits resources for staff members, such as trainings, info sessions or FAQs
  • Support the annual Open Enrollment process for benefit plans
  • Ensure that all benefits plan materials are posted on the Year Up intranet and maintained in other relevant resources

Site Team/Learning Community Member
  • May have an opportunity to serve as a coach/mentor for a small number of current students from time to time
  • Join and sometimes facilitate weekly group sessions with students
  • Participate in staff meetings and trainings

QUALIFICATIONS:
  • 2-3 years’ experience in the workforce
  • 1-2 years’ experience in a Human Resources generalist capacity
  • Proficient in Microsoft Office software suite
  • Experience with HRIS database systems (such as ADP) preferred
  • Discretion to handle confidential information
  • Customer service mentality and can-do attitude
  • Strong attention to detail and excellent organization skills
  • Ability to take initiative and manage multiple projects at one time

  • Salary: Competitive and commensurate with relevant experience and skills.
