DESCRIPTION
The HR Coordinator's primary responsibilities are focused on ensuring compliance to specifically required pre-employment screening clearances such as: Criminal Background and any other type or levels required by a specific job duty. Special projects such as providing documentation for audit purposes and subpoena. This position reports to the Division HR Manager. It will require heavy interface with Hiring Managers, center staff, HR Assistants, and Compliance Department.
DUTIES & RESPONSIBILITIES
This position works to ensure HR compliance in the areas of I-9 employment eligibility verification, E-verify, background screening, clearance process, certification and credentialing. Core job duties are time sensitive and highly confidential. Along with HR Compliance responsibilities, this position will assist in general office and administrative responsibilities as assigned with heavy emphasis on Workday business processes associated with new hires and onboarding.
PRIMARY DUTIES
- Responsible for ensuring compliance and consistency on all pre-hire clearance. Uses email communication with new hires, checklist and applicant tracking system to ensure consistency.
- Maintains tracker report with accuracy and comments that help audit where delays are occurring in the background process, including those based on state requirements.
- Confirms required data has been added to Workday to allow for expected HR start date.
- Audits HR start date to confirm date is updated appropriately based on timeframe for background check processing and actual start date occurrence.
- Responsible for tracking and maintaining all new hires in the onboarding process with proper forms needed for each specific clearance or certification requirement(s).
- Responsible for all direct and accurate communication to the Business Partners regarding specified clearances, certification, and credentialing.
- This position will be responsible for researching and tracking non work authorizations, advising both the individual and Operations Manager of upcoming expiration dates. Ensures that documentation is updated in compliance.
- Responsible for tracking expiring TBs and notifying employees and their Operations Manager. Ensures that documentation hand off occurs for appropriate tracking in designated system.
- Participate in and support various projects, as requested; overtime may be required.
- Other HR related duties as assigned.
- Responsible for assigned state specific portals for background check processing
- Responsible for managing the I-9 employment eligibility verification process following state and federal guidelines (TNC).
- Participate in regular I-9 compliance webinar and training, including fraudulent documentation training.
- Conduct annual internal I-9 audit on active and inactive I-9’s and move within HireRight Background and I9.
- Responsible for setting-up new location with HireRight for the Electronic I-9 processing.
- Auditing I-9 exception reporting and notify Division HR Manager of noncompliant I-9s following escalation procedures.
- Responsible for data entry into ERP system and maintain any excel spreadsheets as required.
- Perform detailed work with a high degree of accuracy.
- Expected to be a team player and support other members of the Human Resources team as needed.
- Maintain relationships with the corporate departments and centers.
- Maintain client and employee privacy in accordance with CARD policy.

Detail oriented, highly organized, ability to work independently and within a team
Previous experience with data collection, analysis and business process improvements, a plus
Intermediate knowledge of Excel necessary or willingness to learn such skills
Workday experience preferred
