Help Service Clients & Administrative Assistant/Receptionist

Join a small but rapidly-growing real estate team to help service clients as we build a luxury brand! In this role, you’ll learn about the various elements of Boston Real Estate including luxury sales, multi-family investments, and new construction projects while servicing high-profile customers and working in a collaborative team environment. Looking for someone with the ability to successfully manage a high volume of closing paperwork, communicate effectively with a variety of clients to ensure important deadlines are met and clients are satisfied, and deploy advertising campaigns across a multitude of marketing channels.

Job Responsibilities:

  • Communicate with clients, lenders, attorneys, appraisers, and inspectors to meet important deadlines
  • Coordinate stager, photographer, and contractor appointments to prepare homes for the market
  • Schedule buyer consultations, showings, listing appointments, final walkthroughs, and open houses for Team Leader
  • Onboard new clients and setup in our systems
  • Maintain a friendly and welcoming attitude to ensure clients feel comfortable and their questions are answered
  • Effectively organize and execute a variety of daily tasks in CRM to service clients, meet deadlines, and close deals on-time
  • Coordinate electronic document signatures and ensure compliance with home office policies
  • Manage technology tools for short-and-long term customer acquisition, retention, and follow-up
  • Prepare buyer/seller appointment packets
  • Prepare open-house materials including brochures, disclosures, listing sheets, etc.
  • Develop marketing materials for properties including website content, social media posts, and mailing campaigns
  • Launch new listings in MLS and in print-media publications
  • Design and schedule monthly mailers to past and prospective customer base
  • Compile relevant housing and community related content and organize for monthly newsletter publication
  • Assist Team Leader in lead managing and compiling customer lists
  • Support special projects as needed

Ideal Requirements:

  • Excellent communicator and ability to learn quickly
  • 1-3 years of progressive work experience
  • B.A / B.S degree or equivalent
  • Proficiency with MS Office Suite (Excel, Word, PowerPoint)
  • Detail oriented and enjoy fast-paced environment
  • Ability to learn quickly
  • Excellent computer and technical skills
  • Problem-solver mentality to deliver timely, high-quality results
  • Constantly seeking process improvement and system enhancements
  • Comfortable communicating directly with clients
  • Must own a car, computer, cell phone and maintain a neat/professional appearance
  • Paid vacation; 40 hours/week split between Back Bay office and Virtual
