Job Description

The Service Accounts Coordinator will develop, administer, coordinate, and implement back-end ticketing duties pertaining to the Service Department. While the position reports to the Director of Operations, the main responsibility will be taking care of all AP and AR needs of the Service Department and therefore will also be taking direction from the Service Manager and Assistant Service Manager. This role is tasked with supporting the fiscal well-being of the Service Department.

This candidate will have the following experience:

  • Convert quotes in the Service Dept software to physical invoices in the accounting software.
  • Manage aging summary report of all past due invoices with various termed agreement.
  • Manages, maintains, and reports weekly receivables through communication with the AR dept.
  • Abide by the separate Invoicing rules and terms for all service clients.
  • Input into Client 3rd party billing system such as Ariba and Coupa.
  • Maintain and track vendor and customer service agreements in the form of Open PO’s, Services Contract, and deposit on account.
  • PO creation for the service department supporting all service coordinators.
  • Screen all vendor invoices, attach to the service ticket, and update services hours to maintain our profitability. Send the vendor invoice to AP
  • Monthly Invoice reporting for various clients.

Secondary responsibilities consisting of but not limited to:

  • Full understanding our unified online ticketing system and Sage accounting software. (Training provided)
  • Other duties will be assigned as needed by the Director of Operations to support the AR/AP Dept.

Qualifications and Education Requirements

  • High School Diploma.
  • Minimum 2 years’ experience in Billing.
