Job Description

Bay Psychiatric Associates, a stabile psychiatric medical group comprised of 25+ shareholders in existence for over 30 years, is seeking to fill a position with a full-time Office Manager?for our San Francisco office. Prior billing, reception and management experience required. A nationally recognized psychiatrist in the field of treatment resistant depression and interventional psychiatry leads our well-established, psychiatric group practice. Our clinicians provide the highest quality of care within a collaborative collegial learning environment.

DUTIES INCLUDE:

  • Support of on-site physicians along with two satellite offices across three service lines to include OP, TMS & Ketamine (review our website).
  • Supports company-wide business growth development initiatives.
  • Manages all facilities related needs.
  • Maintains inventory and orders approved office supplies on a routine basis.
  • Able to learn and use new technologies and programs such as EMR, insurance websites, phone system, credit card processing and other related programs.
  • Opening, processing and distributing incoming mail.
  • Prepare, distribute and respond to all office correspondence.
  • Create and respond to emails from patients, doctors and insurance/billing companies.
  • Answer the phone and make phone calls to patients, doctors and insurance/billing companies.
  • Check and respond to voicemails.
  • Scheduling appointments.
  • Assist patients as they check in for their appointments.
  • New patient registration.
  • Conducts prior authorization and assists with processing charges and payments.
  • Print and post physician coverage information.
  • Ensure all doctor and admin calendars are posted and current.
  • Attend all staff and department meetings.
  • Assist other staff as required including other divisions. Directly reports to the Practice Administrator.
  • Ownership for accomplishing new and different requests. Flexible in taking on new work assignments and working in new processes;
  • Any and all other duties as assigned.

QUALIFICATIONS:

  • 5 years minimum experience in medical office experience.
  • Proficiency in both Word and Excel.
  • Strong typing speed.
  • Ability to work independently as well as in a team setting with minimal supervision.
  • The ability to multitask and work well under pressure as well as being accurate.
  • Excellent attendance.
  • Familiar with different types of medical insurances.
  • Experience with Practice Management and Electronic Healthcare Records.
