This is a crucial role to the success of the entire Growth team here at eXp Realty. The Growth Operations Support Specialist will support growth operations mainly in the day to day operations that take place, but also will assist in some short-term and long-term projects that our department is working on. Extreme attention to detail, implementation of procedure, and thorough understanding of all of the processes we use will be paramount to the success of the Growth Operations Support Specialist role. Job Duties & Responsibilities:
  • Field incoming communications, Scan emails, and answer appropriately
  • Delegate tasks outside of our scope of duties, coordinate a smooth handoff to the correct department or person.
  • Schedule meetings, calls, events, flights, hotels, car rentals. Reschedule conflicting appointments, set reminders, follow up
  • Review all team lead addendums, team member addendums, team commission addendums, and contracts
  • Meet in-person/zoom to plan, strategize, update and accomplish daily tasks and projects.
  • Take notes at all meetings, noting action plan(s) and intended results. Schedule a follow up meeting or communications if needed. Share notes to appropriate team members as directed
  • Manage and input all receipts into accounting software and provide an explanation for each expenditure; Submit reimbursement requests with supporting documents, including mileage reimbursement.
  • Schedule quarterly review meetings with VP direct reports and assist with interviews, taking notes, and follow up with an action plan if needed.
  • Research and fact-find to prepare for meetings, make reports, strategize, etc.
  • Assist with agent info searches, onboarding issues, broker/broker team issues, team leader assistance, team formation/severance, etc
  • Frequent direct communication with Brokerage Integration Team to ensure efficiency and effectiveness
  • Maintain and/or create reports for growth and any other projects as assigned
  • Major events attendance and support

Education:
  • BA/BS in related field strongly preferred
  • High School Diploma/GED required

Experience:
  • 3+ years of experience in executive-level support required
  • Experience in the real estate industry strongly preferred
  • Excellent communication skills both written and verbal
  • Experience in coordinating travel
  • Budgeting and expense report coordination experience required
  • Experience in providing excellent professional customer service including conflict resolution required
  • Advanced Microsoft Office experience and/or Google Suite required
  • Advanced Mac and PC experience
