Background:

Kent, Campa and Kate Incorporated (KCK) is a federal contracting company that provides professional services to Government Agencies. We are currently seeking candidates for a General Clerk III position with experience in maintaining files and records, assisting in office management and organizational procedures, making travel arrangements, preparing special events, and has the ability and flexibility to perform standard and non-standard clerical/secretarial work.

Requirements:

  • Education Minimum: Associate degree from an accredited college or university in Business Administration or a related field
  • Experience Minimum: One (1) year of relevant experience
  • Excellent written and verbal communications skills
  • Strong attention to detail
  • Proficient in Microsoft Office products (Excel, Word, Access, Outlook, Visio, and PowerPoint)
  • Proficient in Adobe programs
  • Strong computer skills
  • Capability in operating routine office equipment, such as scanners, copy machines, fax machines, etc.
  • Will need to learn and become proficient in various DHS/MGMT/FPS computer programs and applications after initial training and orientation
  • Pass a Full Background Investigation

Work Duties (including, but not limited to):

  • Perform a full range of standard and non-standard clerical/secretarial work.
  • Screen telephone calls, visitors, and incoming correspondence.
  • Receive all incoming personnel and visitors to the office.
  • Prepare routine non-technical correspondence.
  • Receive, sort, and distribute mail.
  • Prepare outgoing mail for delivery to include overnight, express services, and use of on-line express mail services, including researching the most economical shipping service.
  • Make arrangements for conferences and meetings and assemble established background materials as directed.
  • Prepare and distribute agendas for meetings as needed.
  • Attend and take minutes/notes on meetings’ activities and distribute minutes/notes to appropriate personnel. Infrequent meetings may be off-site and within the local commuting area.
  • Review outgoing materials and correspondence for internal consistency and conformance with office procedures.
  • Coordinate and distribute interoffice communications.
  • Collect information from the files or staff for routine inquiries on office program(s) or periodic reports and refer non-routine requests to appropriate office staff.
  • Assist with inputting, reviewing, and maintaining all areas of payroll.
  • Make travel arrangements, or work with travel agencies to coordinate transportation and accommodations and/or off-site meeting facilities. Responsible for completing critical incidence travel arrangements for personnel.
  • Support regional emergencies, taskings, or projects, and prepare documentation for travel as directed.
  • Prepare travel vouchers for submission by inputting data, editing, and reviewing voucher for completeness and attached supporting documents.
  • Assist client and contract personnel in the maintenance, purchase, and dissemination of routine supplies.
  • Conduct weekly supply inventories and prepare supply orders for government approval.
  • Conduct comparative analysis, compose, compile, and monitor routine and immediate reporting requirements.
  • Perform routine personal property inventories, maintain, and update inventory control systems, and assist with managing inventories.
  • Compile information for the Monthly Performance Report, and prepare correspondence, special reports, graphs, charts, and research.
  • Track assigned incidence reports.
  • Assist client with planning and execution of special events supported and recognized by the Federal Government.
  • Assist with presentations and other needs for special projects.
  • Draft, review and edit multiple documents for distribution to executive staff, regional or upper management at government headquarters.
  • Assist with in-service training by managing the training room calendar, preparing, and assembling lesson plan documents and PowerPoint presentations, and assembly of student handouts and course materials.
  • Perform a variety of record keeping, reporting, and informational duties in support of the office’s programs. Compiles, maintains, and updates data, lists, and reports. Checks and verifies data by direct comparison with source documents.
  • Complete any other special assignments as they relate to the administrative and clerical support of the client’s mission and programs.
