Job Description:
We are a fast-paced Physical Therapy & Wellness clinic looking for an upbeat, friendly, dedicated, office professional seeking long-term placement in the Front Office environment.
The Front Office Manager oversees the Rehab United patient experience, the delivery of our trusted brand of service, and the efficient operations of daily business activities. The Front Office Manager puts our patient's experience and support to Rehab United team members above all else. The Front Office Manager is responsible for the performance of the front office, schedule management, accuracy & efficiency of daily operations, assisting the Clinic Director, and working the same tasks as the Front Office Assistants.

- Oversee and support day-to-day office activities in a fast-paced out-patient physical therapy clinic.
- Support & supervise Front Office Assistants to ensure accuracy and consistency of patient records and scheduling.
- Communicate & educate the front office staff of company policies, procedures, events & updates; industry changes & requirements.
- Maintain excellent communication with Clinic Director to ensure you are both on the same page regarding clinic goals, changes, topics of concern, team morale, etc.
- Champion action plans for achieving company goals. Communicate with providers and office employees through regular discussions, meetings and visuals.
- Resolve issues in a real-time environment, such as employee relations, customer service, office supply orders, financial issues, patient complaints, etc.
- Collaborate with Clinic Director to create monthly marketing targets, organize/create meeting agendas, etc.
- Create and manage front office schedule and provider schedule availability.
- Audit office practices, documentation, & processes to assure adherence to company policies & procedures, including but not limited to: auditing patient charts, monitoring interactions with patients, quality-control of various accounting reports, etc.
- Troubleshoot, follow-up and work unpaid/denied claims & submit paper claims with supporting documentation.
- Welcome & greet all patients & visitors, in person, via email, & over the phone.
- Answers phones wile maintaining a polite, consistent phone manner using proper telephone etiquette.
- Assist patients/clients with scheduling appointments for all services offered.
- Verify insurance benefits and relay quote of benefits to patient.
- Collect payment at the time of service and record payment details in the corresponding scheduling/billing system.
- Fax, Scan, Email.

- Ability to manage time efficiently in a stressful environment while maintaining professionalism and composure.
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Must be familiar with MS Office, including Excel, and have the ability to learn computer operating systems.
- Maintain confidentiality.
Required Experience:
Two or more years of medical office experience; Experience in a Physical Therapy Clinic or previous Medical Office Management a plus.
