The Front Office Administrative Assistant is responsible for handling front office administrative duties, including greeting guests, answering phones, handling company inquiries including any complaints. Serve as the “face” of QC providing a great first impression of Quality Distribution.
Essential Functions:
- Properly route incoming callers ; Answers questions about organization and provides callers with address, directions, and other information
- Welcome visitors by greeting them, in person or on the telephone
- Announce visitors to appropriate personnel
- Maintain employee and department directories
- Maintain safe and clean reception area by complying with procedures, rules and regulation
- Monitor security by following proper protocols to grant entry to visitors/vendors, complete check-in process in security software system to provide visitors badges; monitor logbook
- Provide broad range of administrative support to the Safety Compliance management and teams; professionally prepare emails, reports, presentations and instructional documents; maintain electronic filing systems
- Communicate to management situations that occur which may require corrective action and pertain to the company security policy, security or switchboard system irregularities, or any other needs
- Take and relay messages
- Other duties as assigned
Education:
- High School Diploma or GED equivalent required
Knowledge/Skill:
- 1-2 years in a receptionist/ front desk role; prior administrative support experience a plus
- Experience with multiple line phones
- Excellent written and verbal communication
- Strong work ethic and professionalism; project a favorable image of the company at all times
- Strong Microsoft Office skills
- Collaboration Skills
- Customer/Client Focus; Ability to handle irate callers
- Works well under pressure
- Strong attention to details and accuracy
- Flexible to make adjustments in schedule and take on projects
