The Department of Obstetrics and Gynecology - Maternal Fetal Medicine Practice has an opening for a full-time University Staff (unclassified) Administrative Assistant II (Front Desk – Scheduler) position.

Nature of Work:

The Front Desk - Scheduler is responsible for providing outstanding customer service to both physicians and patients in scheduling patient encounters within the Maternal Fetal Medicine Practice. The individual in this position will perform a broad spectrum of duties related to the effective and efficient scheduling of patients for outpatient visits and procedures in the Maternal Fetal Medicine patient office. This includes maintaining precise interactions with nurses, physicians, and any other departments, stakeholders, or functions involved in the delivery of patient care services.

The individual in this position will serve as a liaison between the patient and the physician for non-clinical issues- i.e. the Front Desk - Scheduler will not disseminate any clinical information such as diagnosis, test results, post-surgical care instructions, etc. and will be primarily focused on the scheduling of patient appointments and performing administrative support duties. All clinical information will be communicated by a medical assistant or physician and inquires/requests related to such information will be directed appropriately.

Examples of Work Performed:

  • Schedule outpatient visits, including data entry into Epic, preparing all necessary documentation within medical record for physician(s) to review, determining if there will be any insurance pre-authorization needed, and mailing information packets to patients as necessary.
  • Must understand the relative priority of clinic visits and procedures to be scheduled. This will frequently require working with multiple physician/lab schedules.
  • Schedule and/or attend various meetings to facilitate communication of key information regarding patient scheduling or other activities related to the accomplishment of the Division’s clinical activities.
  • Obtain referrals and authorizations as necessary for all clinic patient encounters, procedures and surgeries. This will require interactions with insurance companies and a working knowledge of various types of insurance along with CPT and Dx coding.
  • Coordinate clinical workload for physicians and nurses to include answering patient phone calls and directing them appropriately.
  • Participate in all staff meetings within the Division and contribute to on-going staff projects.
  • Preauthorize procedures and genetic testing.
  • Procure insurance referrals for clinic.
  • Oversee clinic scheduling; schedule follow up appointments as needed.
  • Triage new patient referrals (fax and phone); email out new patient information.
  • Request Interpreter Services if necessary.
  • Process requests for medical records.

Salary and Benefits:

The salary range (or the hiring range) for this position has been established at $35,448 - $39,192.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Qualifications


Minimum Qualifications:

  • Two (2) years of customer service or general administrative experience.

Substitution: Appropriate education will substitute for the required experience on a year-for-year basis.

Conditions of Employment:

  • Primary location will be in the Denver Metro area. Position will be cross trained for scheduling functions at the 3 Denver Metro freestanding MFM clinics.
  • Must be willing and able to lift, push and/or pull up to 20 lbs.

Preferred Qualifications:

  • Electronic EMR experience is highly preferred.
  • Two (2) years of administrative experience in a health-care setting.
  • Experience working in an Obstetrics and Gynecology setting.

Competencies/Knowledge, Skills and Abilities:

  • Must demonstrate expertise with various computer programs including all MS Office Suite applications.
  • High level of verbal and written communication in conjunction with professional telephone etiquette is essential.
  • Must have superior editing and writing abilities suitable for academic standards.
  • Exceptional customer service skills with the ability to maintain a positive attitude at all times and work with diversified customer clientele is required.
  • Must be flexible and capable of handling multiple and shifting priorities.
  • The ability to handle sensitive information in a confidential manner is required.
  • Must demonstrate the ability to act independently, have excellent interpersonal skills, and be able to maintain positive working relationships.
  • Broad knowledge of medical practice front office operations and medical terminology is highly preferred.
  • Familiarity with insurance plans, ICD-10/CPT coding and the prior authorization requirements for procedures and tests is a plus.
  • Ability to assess priorities and rearrange job duties as needed.
  • Ability to process credit card payments, handle cash transactions, and general math accuracy as supervised by Practice Manager.
  • Ability to make decisions regarding the routing and handling of patient phone calls based on the information shared by the patient. For example, clinical issues cannot be handled by this position and should be directed to the appropriate member of the team, (i.e. Medical Assistants, MDs, billing or administration).
  • Ability to handle sensitive patient information and a high level of decision making is required to determine when it is appropriate to share sensitive information and what type of information may be shared.
  • Understand and able to explain procedure packages, especially self-pay services.
