Job Description

BASIC FUNCTION

The Front Desk Biller works with the staff and doctors to keep the office running smoothly and efficiently. This includes handling calls, scheduling exams, checking patients in and out, verifying insurance, updating contact information at each visit, and assisting with referrals.

In addition, the Front Desk Biller is responsible for collecting, posting and managing account payments, applying applicable insurances, and following up with insurance companies.

DUTIES AND RESPONSIBILITIES: ESSENTIAL FUNCTIONS

  • Provide exceptional patient care clinically and by creating a customer/patient service experience that is phenomenal for each and every patient.
  • Check patients in and out, verify insurance, update contact information at each visit, and assist with referrals.?
  • Effectively handle telephone inquiries; handle patient calls and effectively manage the daily schedule.
  • Prepare patient chart, and ensure confidentiality of all records.
  • Maintain patient records in billing/scheduling system.
  • Check in supplies that come in and match with patient.
  • Instructs patients about adapting to, wearing, and caring for contact lenses.
  • Documents patient care and treatment.
  • Return contacts (exchange or incorrect orders) to the lab.
  • Stacks, straightens, and cleans stock room as necessary.
  • Follows safety, infection control, and quality assurance protocols.
  • Pack / Unpack duffle bags daily for the Doctor/Staff member to take to the other branches.

· Perform basic math functions to collect payments and make change.

· Answers questions from patients, clerical staff and insurance companies.

· Identifies and resolves patient billing questions.

· Processes payments and prepares a daily deposit.

· Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.

· Checks glasses and contact orders for accuracy according to insurance guidelines, patient needs, and lab specifications.

  • Administrative duties for this position include faxing, copying, making phone calls, preparing patients' medical records, scanning, filing, and entering extensive data in the office's computer system.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

PHYSICAL DEMANDS

· This position is performed in an office environment and requires periods of sitting or standing that may last one hour or longer, and requires approximately 80% sitting, 10% standing, and 10% walking, up and down steps.

· Manual dexterity needed for using a calculator and computer keyboard.

· Physical requirements may include the need to occasionally lift up to ten pounds.

· Job pressures are high for meeting deadlines, working on multiple tasks at one time, and frequent interruptions.

· Occupational requirements for this position include the ability to see, hear, and speak clearly and distinctly.

· The mental ability required is high for reasoning, reading, remembering, writing, and speaking.

· This position requires the ability to work extended or unusual hours to meet the needs of the office or in an emergency situation.

SUPERVISION RECEIVED

This position reports to the Doctor.

SUPERVISION EXERCISED

This position does not have supervisory responsibilities.

EDUCATION AND EXPERIENCE

This position requires a high school diploma or equivalent.

Prior experience in an optical or medical office support position desired, but not necessary. Prefer experience with Eyefinity software and Microsoft Office Suite software programs.

Specific skills preferred include:

· Knowledge of medical billing/collection practices.

· Knowledge of business office procedures.

· Ability to operate a computer and basic office equipment.
