Job Description

You are the friendly face of INVIVO Wellness!

To succeed as a Front Desk Associate / Receptionist, you should have a strong work ethic and a high level of accuracy. You should be responsible, attentive to customer needs, and committed to providing excellent service.

This person will warmly and promptly greet and direct ALL customers (members, patients, and guests) and staff as they enter the facility.

You will also provide assistance to customers about services offered at INVIVO, as well as perform various administrative duties including scheduling appointments, managing transactions, collecting payments, and resolving customer concerns, and cross-selling all of our services.

This is a physical therapy clinic, therefore you will be handling insurance information and need to follow HIPAA guidelines. Previous experience scheduling for a medical facility is a plus.

WEEKDAY SHIFTS: (18 hours per week)
Monday 3:30 - 8:30 pm
Tuesdays 8:30 am - 1:30 pm
Thursdays 3:30 - 7:30 pm
Fridays 11:00 am - 3 pm

Additional shifts may available including Saturdays (8:30 - 3:30 pm).

Responsibilities:

  • Provide excellent customer service in person, via phone, and email
  • Greet customers promptly, enthusiastically, and with a smile to create a friendly, positive experience
  • Daily maintain an organized and clean facility that will include laundry, studio, fitness center, locker rooms, spa, etc.
  • Emphasize and enforce the objectives of our wellness center as a fitness and wellness provider
  • Confidently present available services and products to members and prospective members
  • Promote and sell our services, packages, memberships, and gift cards
  • Schedule appointments (in-person, via phone or online)
  • Handle sensitive and confidential client information and agreements
  • Responsible for accepting payments (cash / credit), ensuring all prices and quantities are accurate, and proving a receipt to every customer
  • Balance the cash register daily
  • Prepare and review weekly sales reports for the bookkeeper (Mondays)
  • Promptly respond to and resolves customer requests, inquiries, and concerns
  • Follow up and follow through activities with all prospective clients/patients
  • Input and maintain updated and accurate records
  • Conduct tours of our facility while establishing a relationship and targeting an individual’s needs and goals
  • Go above and beyond to ensure exceptional and consistent cleanliness standards throughout the facility by performing daily walk-through inspections to ensure that all areas of the facility are clean, neat, organized, and in good repair.
  • Monitor supplies and inventory
  • Occasionally assist Wellness Director with the promotion of special events, workshops, classes, etc.
  • Work closely with INVIVO Team on various projects
  • Other duties as assigned by Front Desk Manager

Requirements:

  • Excellent customer service and cashier skills required
  • Excellent verbal and written communication skills required
  • Excellent problem-solving skills including a helpful, courteous approach to resolving complaints required
  • Preferred experience using MINDBODY scheduling and point of sale software system
  • Preferred experience using Slack app for internal team communication
  • Previous sales experience, with strong sales skills
  • Ability to stand, walk, lift heavy items (25 lbs), and work with other team members in a fast-paced environment to provide excellent service
  • Proficient math and computer skills
  • Familiar with Social Media
  • Health and fitness minded people strongly preferred
  • Ability to pick up additional shifts for early morning, mid-day, evening, and/or weekend hours as the need arises
