CLASSIFIED VACANCY

POSITION: Executive Secretary, Teaching and Learning Services
LOCATION: Administration Building - Teaching and Learning Services
PAY RANGE: C0-2 ($21.63 - $32.47 hourly)
WORK YEAR: 12 Months (260 Days)
REPORTS TO: Chief Academic Officer, Teaching and Learning Services

SUMMARY:
Responsible for providing administrative support to the Chief Academic Officer (CAO). Duties include managing the department budgets, writing and revising applications for federal funding, composing, typing, and editing correspondence; answering and screening phone calls; acting as a liaison between the CAO and parents, students, staff, and the public; managing projects/processes; developing reports; maintaining files and databases; and assisting with developing the annual budget.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following and other duties as assigned.

  • Write and revise federal and state applications for funding including the Title Consolidated Application and the READ Act Application and manage documentation of school UIP strategies and Title I funds.
  • Verify budget expenses, make budget transfers, maintain accounting/bookkeeping records, and/or process purchase order and check requests.
  • Manage and monitor the Learning Management System and other department projects
  • Act as a liaison between the CAO and others by responding to, advising, and directing parents, students, and staff regarding policies, procedures, and confidential and/or sensitive issues.
  • Anticipate problems and conflicts and help develop productive solutions. Problem solve and make decisions.
  • Provide administrative assistance and support to the CAO, including prioritizing incoming information and serving as a clearinghouse for correspondence; composing, typing, and editing correspondence; and answering and screening phone calls.
  • Research, compile, compute, and analyze information and statistical data for reports and/or communications.
  • Maintain department files and databases.
  • Perform other duties as assigned.

EDUCATION AND RELATED WORK EXPERIENCE:

  • High school diploma or equivalent, plus technical courses in computers, business, bookkeeping, or office management.
  • Three years of successful experience as a department secretary or equivalent.

LICENSES, REGISTRATIONS or CERTIFICATIONS:

  • Criminal background check required for hire.

TECHNICAL SKILLS, KNOWLEDGE & ABILITIES:

  • Advanced oral and written communication, interpersonal, time management, problem solving, and report preparation skills.
  • Strong organizational and multi-tasking skills.
  • Strong knowledge of bookkeeping, budget systems, and math.
  • Strong Microsoft Excel skills.
  • Intermediate to advanced keyboarding and typing skills.
  • Intermediate to advanced skill with personal computers, email and attachments, telephone systems, advanced copiers and scanners, and a variety of software including MS Office and calendaring software.
  • Ability to maintain confidentiality in all aspects of the job.
  • Fluency in second language preferred.
  • Ability to promote and follow Board of Education policies, Superintendent policies, building, and department procedures.
  • Ability to communicate, interact, and work effectively and cooperatively with all people, including those from diverse ethnic and educational backgrounds. Willingness to contribute to cultural diversity for educational enrichment.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment, and report unsafe conditions to the appropriate administrator.

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:

  • Advanced operating knowledge of and experience with personal computers, peripherals, and office software.
  • Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, E-mail, etc.

REPORTING RELATIONSHIPS & DIRECTION/GUIDANCE:
This job has no supervisory responsibilities. Acts as a resource for departmental staff and public regarding department policies, procedures, boundaries, and/or budget.

While performing the duties of this job, the employee is regularly required to compare, analyze, communicate, coordinate, synthesize, use interpersonal skills, and compile. The employee is frequently required to copy. The employee is occasionally required to compute, instruct, evaluate, and negotiate.

TERMS OF EMPLOYMENT:
1. Twelve (12) month position (260 days per year)
2. Eight (8) hour per day

Performance of this job will be evaluated in accordance with the Board's policy on the District Classified Performance Evaluation System.
