About the role:

Join Takeda as an Executive Coordinator to the President, Global Vaccine Business Unit, where you will provide comprehensive administrative support to the President of a Globally Integrated Business Unit. As part of the Global Portfolio Executive Team (GPET) team, you will report to the President, Global Vaccine Business Unit and work with the Executive Committee of the Vaccine Business Unit (VBU).

How you will contribute:
  • Understand the annual business cycle and anticipate the executive's needs regarding preparation for and scheduling of activities; manage the executive's calendar; schedules meetings, calls, and other interactions based on the priorities of the executive; arrange travel; complete expense reports in a timely manner.
  • Understand business etiquette; interact and work successfully with senior leaders of the organization's customers and suppliers to ensure that customer needs are addressed while balancing an executive's other responsibilities and commitments; research solutions to questions and responds independently to email and phone inquiries.
  • Make sound choices in ambiguous situations; solve issues with reason and calm in times of crisis.
  • Manage the executive's email and other correspondence, responding on behalf of the executive where appropriate, forwarding communications to appropriate staff to respond, or bringing the matter to the attention of the executive.
  • Develop an understanding of the executive's work style and preferences; assume responsibilities as requested by the executive.
  • Use appropriate tools for required work; ensure that all documents produced for the executive are of the highest quality, accuracy, and completeness.
  • Know the appropriate sources for needed data and gather data for reports and analysis; prepare reports and analyses to assist executive with decision-making.
  • Interact effectively with all levels of employees throughout the company; work with the executive's staff to ensure that business decisions are made in a timely fashion while balancing the executive's other responsibilities and commitments.
  • Schedule VBU Executive Team meetings and key governance meetings including Quality Council and RECC; arrange meeting space or virtual meeting tools.
  • Develop agendas and ensure that participants are prepared for the meetings; ensure that any follow-up actions resulting from the meeting are documented and completed.
  • Lead planning for VBU-Boston social events in collaboration with members of local Administrative team.
  • Contribute to VBU Boston's Return to Office initiatives and incentives working with representatives across the business unit.
  • Plan local, ad hoc staff meetings as needed.
  • Prepare documentation for payment of vendors, consultants, and suppliers; submit documentation and enter request for payments into accounting system; approve transactions; respond to inquiries from accounts payable and payees; may approve staff expense reports and other payment requests.
  • Work with finance team to prepare and run financial reports for the executive.
  • Initiate, develop, lead, and participate in improvement processes in close collaboration with business operations.
  • Participate in management of VBU onboarding efforts and Distribution Lists.
  • Understand the structure of the organization and maintain a strong network across departments; draw on network to answer questions, solve problems, and successfully execute responsibilities.
  • Demonstrate the highest level of confidentiality in execution of all responsibilities.
  • Manage specialty documents and correspondence, including letters, reports, emails, presentations, memos, faxes, etc.
  • Arrange travel; complete expense reports in a timely manner.

What you bring to Takeda:
  • High school diploma/GED required. Associates degree or bachelor's degree preferred.
  • Minimum 10 years of relevant work experience, or equivalent combination of training and experience. Some industry experience is preferred.
  • Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint.
  • Excellent verbal and written communication skills.
