We are looking for an Executive Assistant to support our executive team. You will manage business-related tasks for the executives such as creating reports, organizing travel, accommodations and meetings, taking minutes, and other organizational tasks as determined by the executives. Additionally, you will oversee the management of the office and facilities. To be successful in this role you should have a detailed understanding of the full Microsoft Office suite, be confident and fast at solving issues as they arise and have experience as an executive or administration assistant. You will be privy to sensitivity and confidential information and the utmost care in keeping that information confidential is essential. More specific duties will include but not be limited to:

Greet clients and visitors with a positive, helpful attitude.

Answer and direct phone calls in a polite and friendly manner.

Assisting with a variety of administrative tasks including copying, faxing, and taking notes.

Preparing meeting and training rooms and maintain reception area and all common areas in a clean and tidy manner at all time.

Receive deliveries; sort and distribute incoming mail.

Provide excellent customer service.

Take inventory of supplies and restock as needed.

Scheduling and managing executive’s calendars, including prioritizing and resolving competing demands, proactively scheduling important meetings with internal and external individuals, and maintaining sufficient blocks of working time.

Filing and retrieving corporate records, documents, and reports.

Preparing reports at the direction of the executives which could be used for presentations.

Using various software, including word processing, spreadsheets, databases, and presentation software.

Provide general administrative support.

Manage our intern program which is made up of local, current college students.

QUALIFICATIONS

Prior experience as an executive assistant or office manager or in related field.

High school diploma.

Consistent, professional dress and manner.

Excellent written and verbal communication skills.

Department Office Administration & Clerical

Required Experience: 2-5 years of relevant experience

Required Travel: No Travel Required

Required Education: High school or equivalent
