Job Description

Reporting directly to the CFO, the Executive Assistant provides executive support to two Executives: the EVP & CFO and SVP, General Counsel and Secretary, and their respective direct reports. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to both the finance and legal departments. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities. Due to the subject matter handled by both executives and periodic interaction with CSWI’s Board of Directors, a high degree of professionalism and the ability to handle confidential matters with discretion are critical for success. The Executive Assistant will represent CSW Industrials internally and externally and will embody the Corporate Culture in each interaction.

Responsibilities:

Scheduling/Meeting Management:

  • Responsible for calendar management and coordination of a variety of complex executive meetings and company-wide meetings
  • Manage all meeting details such as room reservations, preparing agendas and presentations, securing necessary IT equipment, catering, and attendee updates
  • Assist in the event planning, organization, and execution of company activities

Travel

  • Prepare complex and detailed travel plans (domestic and international), itineraries and agendas.

Administrative

  • Communicate directly, and on behalf of the two Executives, with Board members, Executive staff and others.
  • Completion of expense reports.
  • Composing and preparing correspondence that is sometimes confidential.
  • Researches, prioritizes and follows up on incoming issues, including those of a sensitive or confidential nature.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively and follows through on projects to successful completion, often with deadline pressure.
  • Deliver prompt, friendly and consistently high-quality customer service, internally and externally.
  • Is available by text or e-mail during business hours and may be asked to be available nights and on weekends as demand dictates.

Finance related

· CSWI internal call

· Quarterly earnings call

· Investor calls

· Investor deck - design/align presentation

Legal/Corporate Secretary related

· Support Board meeting planning and logistics

· Document and file management

Liaison

  • The first point of contact, in person and calls, for executives from internal departments and external clients.
  • Meet and greet executive’s guests, Board Members, and investors
  • Maintain and protect highly confidential corporate information and communicate information within scope of authority.

Skills/Requirements

Requirements:

  • Strong tenure: three years of experience supporting C-Level Executives in a fast paced, growing organization
  • Bachelor’s degree or equivalent work experience.
  • High degree of computer proficiency utilizing Microsoft Office (Adobe Illustrator, Outlook, Word, Excel, PowerPoint), internet applications, and technology hardware.
  • Exceptional proofreading and communication skills (written and verbal), organizational and interpersonal skills, time management, and goal setting abilities.
  • Strong decision-making and problem solving skills and a strong attention to detail are a must.
  • Understanding of key relationships in order to accommodate schedule demands.
  • Ability to be politely assertive when requesting information with thorough and tenacious follow-up ability. Initiative and resourcefulness in collecting needed information from varied sources.
  • Ability to anticipate the needs of executive while fielding requests and identifying significant items requiring manager attention.
  • Project management skills desired along with the ability to self-initiate own administrative projects and manage multiple priorities.

Pay: $62,000.00 - $75,000.00 per year
