Job Summary:
The Executive Assistant/ Marketing Coordinator's central responsibilities include scheduling, logistics, facilities maintenance and general administrative support to the President of Sharecare Inc.'s Consumer Division and assignments such as event planning, client gifting, custom mailings and more from the SVP Integrated Marketing. Essential Functions:
  • Expense reimbursement, travel coordination, phone support, and logistics for President and SVP of Marketing
  • Appointment scheduling, tracking and reporting
  • Coordinate printing (both in house and through suppliers), mailing, couriers
  • Preparation, planning, setup, and cleanup of Sharecare-hosted client meetings and executive-hosted internal events.
  • Run, create, and compile PowerPoint slides for in-person/virtual weekly sales meeting, document weekly sales meetings and coordinate all required follow-up, schedule guest speakers as needed; Generate reporting and disseminate information for weekly sales updates and other meetings
  • Select and fulfill both mass and custom gift mailings for Consumer Division's clients in support of the Integrated Marketing department. Includes vetting gift, securing packaging, customization of inserts and shipping.
  • Plan and execute internal culture committee events
  • Review furniture needs, order and maintain office supplies, ensure copy machines are serviced
  • Serves as administrative liaison with others within and outside the company regarding administrative issues related to facility and operations
  • Meet and greet all guests at our Manhattan location
  • Provide support for collaboration tools, network connectivity and Mac configurations
  • Attendance at certain offsite functions, client outings as required
  • Other presentation creation and research, as required

Qualifications:
  • BA/BS
  • Minimum 1 year of relevant experience in professional office environment
  • Must be tech savvy and proficient in MS Office applications, particularly PowerPoint and Excel
  • Strong verbal and written communication skills
  • Professionalism and discretion
