This position is responsible for providing administrative support for senior leadership of the Legal Division, with additional substantive and administrative support for the Claims & Litigation Department. The individual will provide administrative support to senior leadership; oversee all aspects of legal bill handling and expenses; coordinate, schedule and provide support for executive, division, department and other meetings and events; oversee monthly and quarterly reports; run calendaring and docketing functions to ensure deadlines are met; support billing, file set up, and other administrative functions for the Claims & Litigation Department; and execute special projects and responsibilities as assigned. Other duties include: support and provide back up for adjacent roles, data entry, and other administrative functions as assigned.

  • Provide proactive executive-level administrative support to the General Counsel and other senior leaders of the Legal Division.
  • Acts as a liaison between Legal and other company divisions and departments.
  • Builds relationships with key individuals throughout all offices and coordinates duties appropriately.
  • Track and report expenses, coordinate travel, and coordinate scheduling.
  • Assist in keeping projects and tasks on track and meeting goals and deadlines.
  • Create, draft, edit, and proofread business presentations.
  • Organize, maintain, and track individual, department, corporate and other documents and files
  • Handle office tasks, such as filing, mailings, data entry, photocopying, and scanning for senior leadership.
  • Reserve conference rooms, set up in-person and remote meetings, and assist with scheduling generally.
  • Handle additional administrative projects as requested by individual leaders.
  • Develop and oversee legal billing processes, including acting as the primary point of contact for billing issues or inquiries from outside counsel.
  • Handle expense reports for leadership and submit check requests to pay vendors.
  • Develop, implement, and update administrative support systems and processes.
  • Support planning and running team events, parties, outing, and activities.
  • Upon request, generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Provide administrative support to the Claims & Litigation Department, including the medical malpractice claims management group.
  • Support medical malpractice and other claims intake functions, including file set up.
  • Collaborate with other assistants to facilitate communication and efficiencies.
  • Provide planning and support for special projects such as periodic conventions and other events.
  • Replenish snacks and get leadership meals upon request.
  • Support and provide back up for adjacent teams and roles, including data entry.
  • Conduct research and participate in special projects, as needed.
Your qualifications::
  • Self-starter, sound professional judgment and strong verbal/written communication skills
  • Strong interpersonal, communication, and client relations skills
  • Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint, etc.)
  • Strong attention to detail and exceptional organizational skills
  • Ability to learn processes and implement improvements
  • Work well under deadlines, manage time effectively, and track short and long-term deadlines
  • Maintain confidentiality of information
  • Clear and concise phone and verbal communication skills

Education & Experience
  • At least 3-5 years of experience at a law firm or large corporation in a similar capacity
  • Bachelor’s degree and/or paralegal certificate preferred
  • Familiarity with litigation and other legal processes preferred
