TA Aerospace is seeking an exceptionally customer oriented, skilled multitasker and self-driven individual to support the President and the Senior Executive Team. This role requires superior attention to detail, ability to meet tight deadlines, excellent organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the organization. Partnership with Leaders:
- Manage business priorities, handle matters expeditiously, and follow-through on items to successful completion.
- Anticipate to needs, and work behind the scenes to ensure our leaders and their teams are functioning smoothly and efficiently.
- Act as a gatekeeper and ensure executives’ time is prioritized accordingly.
- Develop and maintain good rapport with executive staff, employees, corporate staff, and business partners.
- Create and edit internal communications, including written communications to executives, directors, managers, and all staff.
- Lead and coordinate company events such as off-site meetings, golf tournaments, internal employee parties, and staff appreciation events. The Executive Assistant is also responsible for ensuring that objectives are clear, preparation is appropriate and budgets are managed.
- Manages travel logistics, itineraries, and expense reports.
Scheduling & Meeting Preparation
- Maintain President’s schedule by planning and scheduling meetings, conferences, and teleconferences.
- Anticipate the President’s needs and prepares required materials for conferences, meetings, calls, and various appointments - Materials such as presentations and reports for external/internal meetings.
- Social Media Management - managing our online presence on social media platforms like LinkedIn by creating and publishing articles, stories, career opportunities, and valuable content for branding our company effectively.
- TA Trademark / Patent Services - Administrate and maintain files for all trademark / patent-related legal matters with executive team and patent / trademark attorneys.
Job Requirements:
- Must have at least 10+ years of administrative support experience reporting directly to President / Senior Management.
- Must have excellent verbal and written communication skills.
- Must have advanced Microsoft Office skills, with an ability to become familiar with the company-specific programs and software.
- Must demonstrate proven experience managing other corporate social media accounts.
- Must be able to meet deadlines in a fast-paced quickly changing environment - Ability to prioritize and multitask.
- Must be comfortable managing conflict and disagreements.
- Experience preparing reports and analyzing data trends is a plus, but not required.
