WHAT WE ARE LOOKING FOR
As Executive Assistant, you will provide high quality administrative support to Opus’ Chief Financial Officer and Chief Operations Officer. This position will act as a direct extension of these two executives, so it is essential that your professionalism mirrors their integrity and drive. Successful candidates will thrive in a fast-paced working environment, have strong organizational skills with the ability to track and manage multiple, shifting priorities and are experienced adapting to different working styles and needs.
YOU SHOULD HAVE
- 5+ years’ senior administrative experience
- Sensitivity and discretion to confidential matters
- Strong sense of urgency and flexibility
- Experience with multi-city travel arrangements and external expense report systems (Concur preferred)
- Proven organizational skills, with the ability to track and manage multiple, shifting priorities
- Consistency in performance and delivery of high-quality work
- Confidence working independently
- Excellent communication (written and verbal)
- Advanced proficiency with: Microsoft Suite (Outlook, Word, Excel, PowerPoint), Gsuite
- Bachelor’s degree preferred, or equivalent combination of education, training, and experience
- Basic familiarity with Finance, Accounting would be preferred
ESSENTIAL RESPONSIBILITIES
- Heavy scheduling and calendar management
- Arrange domestic / international travel
- Coordinate meetings and manage logistics
- Act as point of contact for internal / external communications regarding the above
- Prepare briefing documents, reports, and presentations
- Perform general administrative duties and miscellaneous projects
- Record meeting minutes
