Job Title: Executive Assistant & Office Manager

Location: Denver

The Executive Assistant and Office Manager must be effective in planning, prioritizing, and executing tasks in a timely manner. They must also exhibit skills in building and maintaining strong relationships both internally and externally. The ideal candidate is both approachable & respectful, comfortable with new technologies, Zoom virtual meeting platforms and scheduling via Outlook. Considering the culture of collaboration within Infinicept, this person should be comfortable not only working independently but also as part of a collaborative support team when faced with administrative decisions. The Executive Assistant and Office Manager will support Co-CEO’s and the Chief of Staff and work closely with the leadership team. In addition to C-Level Executive Assistant functions, the EA will serve as the Office Manager at Infinicept’s Denver headquarters, working closely with leadership to interface with the building manager to provide a comfortable and productive workspace for our Denver office team.

Who You Are:

You can manage multiple tasks at once and represent the company with a smile at the front desk. You have top notch organizational skills and thrive in a fast-paced environment. You can professionally handle confidential situations and have a high level of interpersonal communication skills to assist with navigating complex situations. Your calendaring skills are superb, and you have a complete understanding of Microsoft Office: Outlook, Word, PowerPoint and Excel.

What You Will Do:

  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Coordinates air travel, accommodations, and logistics for complex domestic and international travel, as well as completes and tracks expense reports accordingly.
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf; Screen and route phone calls, emails, and correspondence; Professionally greet and appropriately direct visitors.
  • Independently and collaboratively supports and manages the administrative needs of the Co-CEOs and the Chief of Staff.
  • Continuously represent Infinicept executives with excellent communication to both external partners and internal clients.
  • Coordinate onsite and offsite meetings for the team on a regular basis: scheduling, sending reminders, and organizing catering when necessary.
  • Strong ability to prepare, proofread, interpret, distribute and maintain specified routine and complex documents; maintain comprehensive and accurate records.
  • Excellent verbal and written communication skills; ability to listen, simplify, and disseminate information tailored to the target audience.
  • Handle highly confidential and/or sensitive departmental matters with discretion and tact.
  • Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics, as required; Coordinating and managing installation of purchased items.
  • Organizing maintenance companies to keep the office clean and safe to ensure it is in great operational condition, working with management company to complete projects as needed.

Core Requirements:

  • 5+ years’ experience as a C-Level Executive Assistant in a fast-paced environment.
  • Master Level experience with Microsoft Office Products: Outlook, Word, Excel and PowerPoint.
  • Excellent verbal and written communication skills; ability to listen, simplify, and disseminate information tailored to the target audience.
  • Ability to deliver action items and complete tasks against multiple projects and deadlines.
  • Genuine passion for providing concierge level of hospitality to external and internal clients.
  • Exceptional attention to detail and a high level of accuracy.
  • Demonstrated ability to take initiative and anticipate needs; Ability to problem solve and to work effectively when parameters are not well defined.

Work Environment

Work in a typical office environment with other staff speaking on phones or engaging in limited team conversation. The role will involve long periods of stationary movement and frequent use of computers and other hardware. Physical efforts to carry out job duties may include some standing, bending, lifting, limited stretching and reaching.
