Job Description
Overview: The Executive Team Coordinator is a trusted liaison to the President of Aegis Living, providing impeccable executive administrative support to her and her team of Chief Officers and Senior Vice Presidents (Executive Team) as needed.
The ability to work independently, anticipate needs and problem solve across very diverse activities with grace and agility, as well as the ability to deal with highly sensitive and confidential matters, will be critical for success in this role. Responsibilities:
  • Manage complex business calendars to ensure schedules align with the President’s priorities and commitments.
  • Answer, monitor and direct calls on behalf of the President with poise and tact. Provide intuitive screening for parties interested in access to the President for professional matters.
  • Monitor and manage correspondence to the President (email, faxes, and snail mail) and prepare responses as appropriate.
  • Provide expense management and monthly expense reporting for President and Executive Team.
  • Work collaboratively, building effective working relationships internally and externally, while accommodating work styles and perspectives of a wide range of interfaces, including: Áegis Living team members, Vendors, Public Relations, Media contacts, etc.
  • Plan and coordinate domestic travel end-to-end, proactively anticipating all logistics and itineraries.
  • Will contribute to and support other key executive projects and events.
Qualifications: What you will bring to this critical role:
  • 5+ years’ experience as an Executive Administrative Assistant for C-Suite leadership
  • Bachelor’s Degree
  • Tech savvy in navigating social media channels, blogs, virtual meeting set-ups, and advanced use of MS Office software
  • Superlative organizational, planning and time management skills.
  • Excellent verbal and written communication and interpersonal skills
  • Ability to exercise sound judgment, tact, diplomacy, discretion and integrity in all interactions including highly confidential situations and information.
  • Possess a high level of self-awareness and emotional intelligence.
  • Strong personal values, passionate about purpose-driven organizations, embraces and exemplifies servant leadership.
  • Proven track record of problem resolution, teamwork, negotiation, analytical and decision-making skills, and the ability to work under deadlines.
  • Must be self-driven with a strong sense of prioritization.
