Job Description

Position Summary:

The Employee Relations Specialist is a non-exempt position reporting to the Head of People Operations. This is a new role on a high-performing People Operations team, a team of passionate professionals driven by excellence and internal customer service. The Employee Relations Specialist will play a key role in driving and owning programs and initiatives relating to the employee experience and HR function by providing support in four key areas:

Hiring & Onboarding – 40%

  • Play a key role in our weekly New Employee Orientation (NEO) sessions. Compile welcome kit swag bags, and present the HR portion covering culture, benefits, policies and procedures. Ensure content presented stays updated. Work with Training & Compliance Specialist to continuously improve the new hire experience.
  • Perform administrative tasks weekly associated with onboarding new hires, ensuring all onboarding tasks are completed to “hire” an employee within our systems prior to their first day as directed by Recruiting Coordinator.
  • Assist in the recruitment, interviewing, and credentialing processes as directed, partnering with Recruiting Coordinator to support our labor strategy and goals.

Culture & Communication – 25%

  • Participation in the planning and execution of projects and initiatives relating to culture, employee engagement, recognition, communications, team building and Justice, Equality, Diversity & Inclusion (JEDI).
  • Update digital signage display content each month to include relevant company news, employee & industry spotlights, announcements, and other relevant topics.
  • Culture champion – role model our core values, serves as the face of the People Operations team by visiting a minimum of two different stations each week to be accessible and approachable for employees and supervisors. Offer support, answer questions, problem solve, and talk to staff to keep finger on the pulse of employee morale. Keep People Operations Team looped in on findings. Make recommendations for actionable improvements and serve as liaison for good communication.

Employee Relations – 20%

  • Participate in employee relations issues, coaching, and investigations ensuring all is appropriately followed up on, documented and resolved.
  • Responsible for responding to all initial on the job injury reports, following up with employees to ensure they receive proper treatment, looping in supervisors for status updates and scheduling considerations. Obtain work status report updates for workers compensation and FMLA. Ensure formal Leave of Absence and associated communications to employees and managers happen timely and accurately according to federal and state guidelines and internal policy. Partner with Payroll Specialist for any sick pay, status, or benefit considerations.
  • Point of contact for employee inquiries - research solutions and respond to employees in a timely fashion with the highest level of customer service and follow up.

Other Human Resources – 15%

  • Update and keep employee records files in check by ensuring documents, disciplinary writeups, investigations, reviews, and other feedback or correspondence is stored in an employee’s personnel file according to policy and compliance.
  • Manage Learning Management System (LMS) platform as main admin and ensure employees complete required new hire and annual compliance trainings. Continuously improve LMS for optimal utilization and employee experience. Ensure content is updated and properly assigned and completed timely.
  • Formulate methods to improve employment policies, processes and practices as well as recommend changes.
  • Communicate regularly with Head of People Ops regarding ideas, observations, and opportunities.
  • Contribute to the success of Falcon by performing all other projects and duties as assigned.

What is required to be successful in this role

Experience working in Human Resources for at least 1 year, or 3+ years’ experience as a high-performing administrative assistant, executive assistant, office coordinator or other similar role, or Bachelors Degree and 2 years’ experience in business role.

  • Preference will be given to candidates with stronger Human Resources background.
  • Hands on experience in using MS Office, databases and HRIS systems – ADP experience a plus.
  • Outstanding communication, both written and spoken. Strong presentation and interpersonal skills
  • Organizational and time management skills – able to prioritize tasks and manage workload.
  • Strong learning agility, desire and ability to learn
  • Ability to work independently without constant supervision and collaborate as part of a strong team.
  • Must possess a valid Driver’s License and ability to travel 1-2 days every week to Falcon’s regional stations (mileage reimbursed; no overnights).
