The Executive Assistant will assist the Head of Employee Benefits on achieving strategic growth and success of the business. They will support the day-to-day activities of the team, including scheduling meetings, making travel arrangements and organizing daily calendars. This individual will support the needs of senior leadership and perform administrative tasks to ensure the EB division's workflow runs smoothly.
Responsibilities Include:The Executive Assistant will assist the Head of Employee Benefits on achieving strategic growth and success of the business. Maintain and organize schedule; help with management technical communications; assist with general meeting prep with managers, and staff. Work with finance partners on expense reporting and budget management. Responsible for travel coordination, expense reconciliation, and weekly reporting of ad-hoc performance metrics. Organizing weekly/ monthly content for meetings – This includes scheduling, documenting action items during the meeting and following up to ensure accurate and timely completion with a OneDrive link to share the content, sharing tasks with other people involved in projects and leading follow ups. Organizing internal/external meetings - This includes scheduling, securing conference rooms and technology needs, creating the agenda and distributing content.
QualificationsMinimum Qualifications:
  • 2-5 years’ experience
  • Associate Degree (or equivalent work experience)
  • Experience with supporting large teams with 50 or more people
  • Advanced knowledge and application of Microsoft Office. (word, excel, power point)
  • Excellent verbal/written communications skills note taking and proof-reading abilities.
  • Strong organizational skills and ability to prioritize tasks and manage multiple projects
Preferred Qualifications:
  • Exhibits professionalism and ability to maintain strict confidentiality
  • Intermediate level of problem-solving skills, research and data gathering ability, analytical and negotiation skills.
  • Independent thinker
  • Industry knowledge preferred but not required
