POSITION SUMMARY: *
The Manager, Events works directly with the Director, Advancement and Director, Development Operations, the internal Department Events Team and outside consultants and vendors in planning and producing Project Open Hand’s internal and external fundraising events. The Manager, Events will be the primary lead on all internal and external events that benefit Project Open Hand. Key responsibilities include all aspects of managing events including logistics, recruiting, training, and coordinating event volunteers, implementing event marketing and communications strategies, cultivating relationships with and soliciting event sponsors, in-kind support, and donors, coordinating event contractors and vendors, and record keeping. The management of events may include working with other Development and Project Open Hand staff to coordinate their functions and contributions to a successful event.

QUALIFICATIONS REQUIRED: *

  • 3-5 years of event management experience preferably in San Francisco Bay Area
  • 3-5 years of nonprofit experience, including but not limited to fundraising, donor management, volunteer recruitment, and event creation and oversight
  • Excellent written and oral communication skills
  • Proven management and supervisory experience
  • Experience with contract negotiation and management
  • Experience with budget management/reconciliation
  • Experience soliciting sponsorships and donations
  • Ability and willingness to work evenings and weekends, especially during event production and execution
  • Knowledge of local Bay Area events venues and vendors
  • Strong social media skills
  • Ability to maintain strong interpersonal relationships, superior customer service and diplomacy skills, both internally and externally
  • Ability to work cross-functionally with a diverse range of internal and external partners, peers and volunteers
  • Strong organizational skills, highly resourceful and the ability to handle multiple projects, with high attention to detail
  • Experience with and proficiency in using Salesforce, BidPal, GiveSmart, Classy, Microsoft Office Suite and/or equivalent database/applications
  • Passion for and commitment to the mission of Project Open Hand

  • Bachelor’s degree preferred; years of practical experience will be considered in lieu of a degree

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: *
Events Management

  • Manage Project Open Hand’s internal, external, and third-party events
  • Work alongside the Director , Advancement, Director, Development Operations, and the Development Events Team to plan and produce Project Open Hand’s events – coordinate event logistics, recruit and manage volunteers, event promotion, secure sponsorships, manage silent/live auctions
  • Develop and implement event marketing strategies in conjunction with the Manager, Marketing and Communications – build media relations, determine new ways to promote events, develop original content about events, create marketing materials
  • Coordinate event marketing in external media outlets as well as Project Open Hand’s website, e-newsletters, print newsletters, social media, volunteer newsletters, flyers
  • Develop and maintain a sponsorship program: Identify, cultivate, and solicit cash and in-kind sponsorships from individual donors, businesses, and corporations to offset event costs
  • Coordinate and cultivate relationships with events contractors and vendors
  • Research other events and best practices
  • Track all revenues and expenses from internal and external events and run analytical reports on event revenues/expenses
  • Use the donor database to query and generate reports as well as organize and maintain donor records
  • Serve on the agency Management Team

Volunteer Coordination*

  • In conjunction with Volunteer Services, determine volunteer needs for each event and ensure these needs are met through recruitment
  • Develop and maintain relationships with volunteer groups in the Bay Area
  • Manage and train event volunteers for each event

Administrative Tasks*

  • Coordinate all events-related income and donations – code, process, and track expenses and revenue
  • Input event donations in the donor database
  • Coordinate, process, and mail all acknowledgement letters
  • Track events fundraising by Board of Directors
  • Other duties as assigned
